Description

The Inside Sales Representative / Material Coordinator is responsible for providing exceptional customer service, sales support, inventory coordination, shipping and receiving activities, and warehouse support. This role serves as a key link between customers, vendors, Account Managers, and operations personnel to ensure timely order fulfillment and customer satisfaction.

The position combines inside sales responsibilities with material coordination functions and plays a critical role in supporting branch operations, inventory accuracy, and customer relationships.

Essential Duties And Responsibilities

Customer Service & Sales Support

  • Receive and process customer orders via phone, email, customer portals, and walk-in inquiries.
  • Provide order status updates, pricing information, and product availability.
  • Prepare and process quotations.
  • Assist customers with product selection and technical recommendations.
  • Process returns, credits, and exchanges.
  • Partner with Account Managers to support customer accounts and sales growth.
  • Develop and maintain professional relationships with customers and vendors.
  • Resolve customer concerns and escalate issues when appropriate.

Material Coordination & Inventory Management

  • Coordinate the flow of materials, parts, and assemblies to support customer orders and operational requirements.
  • Receive, inspect, and verify incoming shipments.
  • Process outbound shipments accurately and on time.
  • Maintain inventory accuracy through cycle counts and inventory reconciliation.
  • Assist with annual physical inventory counts.
  • Research and resolve inventory discrepancies.
  • Coordinate transfers and movement of materials within the facility.
  • Support inventory replenishment activities as needed.

Shipping, Receiving & Warehouse Operations

  • Prepare shipments using approved carriers and shipping systems.
  • Coordinate domestic and international shipments as required.
  • Prepare shipping documentation including packing slips, bills of lading, and related paperwork.
  • Maintain organized warehouse, stock, dock, and staging areas.
  • Operate material handling equipment in accordance with company guidelines.
  • Ensure shipping and warehouse equipment are maintained and operating properly.
  • Assist with customer pickups and will-call orders.
  • Follow all safety procedures and identify unsafe conditions when observed.

Administrative & Operational Support

  • Maintain accurate records within order management and inventory systems.
  • Support branch operations through cross-functional collaboration.
  • Assist with special projects and operational initiatives.
  • Participate in training and professional development opportunities.
  • Perform other duties as assigned.

Requirements

Position Requirements

  • High School Diploma or GED required.
  • Previous customer service, inside sales, warehouse, inventory, or branch operations experience preferred.
  • Strong communication and interpersonal skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong organizational and problem-solving abilities.
  • Proficiency with Microsoft Outlook, Word, and Excel.
  • Experience using ERP or order management systems preferred.
  • Ability to work independently while contributing to a team environment.
  • Commitment to providing exceptional customer service.

Physical Requirements & Work Environment

  • Ability to regularly use office equipment and computer systems.
  • Frequent communication with customers, vendors, and coworkers.
  • Ability to lift and move materials within established safety guidelines.
  • Ability to stand, walk, bend, and reach throughout the workday as needed.
  • Ability to work in both office and warehouse environments.
  • Ability to safely operate material handling equipment following training and certification requirements.
