The Patient Consultant / Office Manager will be responsible for overseeing all non-clinical aspects of the practice and ensuring that daily operations run efficiently and at the highest standards. This person will also be the primary point of contact for prospective and existing cosmetic and insurance patients. This candidate will play a critical role in the success and expansion of the practice.
Responsibilities
Patient Consultant:
- Serve as a primary point of contact for prospective and existing patients.
- Manage patient inquiries, consultation scheduling, pre-operative communication, and post-operative follow-up with accuracy and care.
- Convert qualified inquiries into consultations and bookings through consistent, thoughtful follow-up.
- Proactively reach out to leads and follow up with prospective patients to maintain a strong conversion process.
- Coordinate provider schedule, surgery scheduling, and referral management.
- Handle patient concerns.
- Educate patients on available surgical and non-surgical services where appropriate.
Front Office Operations:
- Oversee day-to-day operations.
- Manage front desk staff, scheduling, and workflow efficiency.
- Supervise patient registration, insurance verification, and authorizations.
- Ensure compliance with HIPAA, OSHA, and office policies.
- Step in to support team members and daily operations as needed.
Qualifications:
- Minimum 3 years of medical office management experience (ENT, Plastic Surgery, Dermatology, Ophthalmology, or related specialty preferred).
- Strong knowledge of medical billing, insurance verification, prior authorizations, and revenue cycle management.
- Experience managing staff.
- Excellent communication, leadership, and organizational skills.
- Ability to multitask in a fast-paced environment.
- Proficiency with EMR/EHR systems and Microsoft Office.
- Experience with cosmetic surgery or elective procedure practices is a plus.
Preferred Skills
- Understanding of surgical scheduling.
- Familiarity with cosmetic procedure financing and patient consultations.
- Experience improving office efficiency, patient satisfaction and practice growth.
- Marketing and social media coordination experience is a plus.
- Strong organization, attention to detail, and ability to manage multiple priorities.
- Professional and positive demeanor with a commitment to upholding high service standards.
- Comfortable using CRM systems, scheduling tools, patient management systems, or similar technology.
- Ability to work well in a small, collaborative, fast-paced team environment.
- Knowledge of patient experience, sales, and front office best practices preferred.
Pay: From $30.00 per hour
