The Receptionist will be responsible for assisting, and providing direction and information to employees, visitors, and other guests of the organization. The primary purpose of this role will be to provide high level clerical and administrative support to the department.

Essential Duties and Responsibilities:

  • Greets employees, visitors, and guests; determines the purpose of each persons visit and directs or escorts him or her to the appropriate location.
  • Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
  • Maintains filing systems as assigned.
  • Responds to and resolves administrative inquiries and questions.
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Maintains alarm, phone and radio system.
  • Maintains PTO calendars and PTO requests records
  • Maintains company phone list and organizational chart
  • Assists with preparation of human resource reports such as attendance, new hire, turnover, and personnel files.
  • Assists with preparation of government reports.
  • Assist and answers frequently asked questions from applicants and employees relative to hiring processes, W4, address change, etc.; refers more complex questions to appropriate senior-level HR staff.
  • Assist with payroll functions including processing, answering employee questions, timecard filling, Vac and PSL entries, and distributes checks.
  • Conducts and/or assists with new hire orientations.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and department lunches.
  • Performs ad-hoc administration duties such as filing, labeling, etc.
  • Other duties and responsibilities as assigned

Qualifications:

  • At least 2 years of related experience.
  • High school diploma required.
  • Bilingual in English and Spanish is preferred but not required.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Must be proficient in Microsoft Office Suite or related programs.
  • Excellent organizational skills and attention to detail.
  • Ability to type at least 45 words per minute.
  • Ability to maintain confidential and meticulous records.
  • Ability to operate related office equipment, such as computers, 10-key calculator, and copier.
  • Ability to work independently and in a fast-paced environment.
  • Proficient with or the ability to quickly learn payroll, accounting, and human resource systems, similar computer applications.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Flexible and adaptable in various situations and when interacting with many different personalities
