Data Entry Clerk - Maintenance

Mission
- Accurately enter all maintenance and repair activities into the fleet management system using work orders
- Review and validate technician work order submissions for completeness and accuracy
- Update records for parts used, labor hours, service codes, and vehicle history
- Track the status of open, pending, and completed work orders and escalate delays when necessary
- Ensure preventative maintenance and inspection schedules are documented and up to date
- Assist with generating daily, weekly, and monthly reports related to maintenance activity, work order volume, and compliance
- Maintain digital and physical records in accordance with company policies and regulatory requirements
- Communicate with maintenance supervisors and technicians to resolve discrepancies or missing data
- Support administrative tasks such as filing, scanning, and document management as needed
- Assist with accident reports
Profile
Qualifications:
Required:
- High school diploma or equivalent
- At least 1 year of experience in data entry or administrative support
- Strong computer skills, including Microsoft Excel and data entry software
- High level of attention to detail and accuracy
- Ability to work under deadlines and handle multiple tasks efficiently
- Strong communication and organizational skills
Preferred:
- Experience with fleet maintenance or work order systems (e.g., Fleetio, RTA, Faster, AssetWorks)
- Familiarity with vehicle or bus maintenance terminology
- Previous experience in a transportation, logistics, or public works environment
