We're looking for an organized, detail-oriented professional to join our team as an Estimating Coordinator. This position plays a vital role in supporting our Preconstruction team and helping ensure projects are set up for success long before construction begins.
While the primary focus of this role is supporting estimating and preconstruction efforts, there may be opportunities to assist Operations teams with project coordination and administrative support as business needs arise.

What You'll Do
Estimating & Preconstruction Responsibilities
- Assist with the scheduling and coordination of project estimates and bid submissions
- Receive, manage, and track quote requests, Requests for Information (RFIs), addenda, and other bid-related documentation
- Create and maintain project folders, bid calendars, internal tracking logs, and estimating documentation from bid initiation through project handoff
- Research project leads and enter data into internal databases and tracking systems
- Contact subcontractors and vendors for pricing, bid participation, and coordination on active opportunities
- Maintain subcontractor and vendor databases to ensure information remains accurate and up to date
- Coordinate and prepare bid bonds, insurance documentation, and other preconstruction-related documents
- Prepare and distribute time-sensitive bid materials and Owner/GC contract documentation
- Update project forms and tracking documents throughout the preconstruction cycle
- Assist with prioritizing multiple bid deadlines and coordinating time-sensitive deliverables
- Coordinate with internal departments to support a smooth transition from preconstruction to operations
Project Coordination Support
- Provide administrative support to Project Managers and Operations teams on active projects
- Assist with project setup, document management, and maintenance of project files
- Coordinate project-related meetings and distribute meeting agendas and notes as needed
- Track submittals, RFIs, permits, and other project documentation
- Assist with preparation and distribution of project reports, logs, and closeout documentation
- Coordinate communication between project teams, subcontractors, vendors, and clients to support successful project execution
- Support project teams with miscellaneous administrative and coordination tasks throughout the project lifecycle
General Responsibilities
- Provide professional and prompt communication with subcontractors, suppliers, clients, and internal team members
- Answer phones and assist with additional administrative duties as needed

What We're Looking For
- 3 years of experience in construction administration, estimating support, project coordination, or a related role preferred
- Commercial construction experience strongly preferred
- Ability to navigate and review construction plans and project specifications, identifying and communicating relevant information is a plus
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Exceptional attention to detail and follow-through
- Strong verbal and written communication skills
- Ability to effectively support both preconstruction and operations teams as workload demands shift
- Team-oriented mindset with the ability to work independently when needed
- Service-minded, proactive, and professional approach to daily responsibilities
- Proficiency in Microsoft Office Suite, particularly Word and Excel
- Familiarity with Bluebeam, CMiC, or similar construction software is a plus
- Experience with Adobe Creative Suite, Canva, or similar design software is a plus
Physical Requirements
- General office demands, including prolonged sitting and computer use
- Occasional driving for industry events, jobsite visits, or business-related errands may be required
