We manage multiple 501(c)(6) nonprofit trade associations, providing full-service operational, financial, membership, and event support. Our work includes board governance, member communications, bookkeeping, conferences, trade shows, and fundraising events.We currently manage four trade associations and intentionally grow by one new client per year. Our culture values structure and flexibility — no two days are the same, and adaptability is essential.Position SummaryThe Office Administrator / Operations Coordinator is a highly organized, tech-savvy problem solver who thrives in a fast-paced, ever-changing environment. This role supports the daily operations of multiple trade associations and serves as a central hub for administration, client management, bookkeeping coordination, membership systems, and virtual meetings.This is not a passive administrative role. The right person anticipates needs, identifies improvements, asks smart questions, and confidently tackles unfamiliar projects. You will work closely with leadership, association boards, members, sponsors, and event partners. Core ResponsibilitiesOffice Administration & OperationsServe as a primary administrative support across all RAS-managed associationsProactively identify inefficiencies and recommend improvements to systems and workflowsTrack action items across associations to ensure nothing falls through the cracksMaintain organized digital files, records, and documentationBoard & Committee SupportSchedule, set up, and manage board and committee Zoom meetingsPrepare and distribute meeting materials and agendasTake, review, and finalize meeting minutesConvert meeting minutes into clear action plans, identifying RAS responsibilities and tracking completionFollow up with board members and leadership on assigned tasksMembership & CRM ManagementMaintain and manage membership databases using Zoho CRMProcess new members, renewals, sponsor records, and payment trackingSupport membership marketing campaigns and outreach initiativesAssist with telethons and direct outreach efforts to drive membership growthProvide high-quality customer service to members and sponsors Financial & Bookkeeping SupportAssist with bookkeeping using Zoho Books and Zoho BillingReconcile association accounts monthly (around 3 days per month)Prepare basic financial reports for treasurers and board presentationsTrack sponsor payments, invoices, and depositsEnsure financial records are accurate, timely, and audit-readyEvents & Conferences SupportServe as a backup to the Event Manager for live event logisticsAssist with:Attendee registrationSponsor coordinationEvent communicationsOn-site support when neededAssist with fundraising events such as:Golf tournamentsClay shootsFamily fun daysHelp execute promotional efforts for events and forums Required Skills & QualificationsHighly organized with exceptional attention to detailStrong problem-solving skills and initiativeTech-savvy with proficiency in:Zoho CRM, Zoho Books, Zoho Billing (or ability to learn quickly)Microsoft Excel, Word, and Google WorkspaceComfortable working in a Zoom-centric environmentStrong written and verbal communication skillsCustomer-service oriented with confidence handling questions and troubleshootingAbility to pivot quickly and adapt to changing prioritiesCurious, eager to learn, and confident taking on unfamiliar projectsIdeal Candidate TraitsEnjoys variety and fast-paced workTakes ownership and pride in follow-throughThrives in a role with autonomy and accountabilityComfortable interacting with board members, executives, and membersBalances structure with flexibilityNot afraid to say, “I haven’t done this before, but I can figure it out.”Company DescriptionRAS manages trade associations in the luxury travel and transportation industries. The founder spent 28 years in the global events marketplace to find her comfort zone here, handling a select group of clients while maintaining a small close knit team.
