Payroll Coordinator

The Payroll Coordinator will be responsible for processing bi-weekly company-wide payroll. Ensure timely and accurate processing of payroll, which will include resolving any payroll issues and discrepancies.

• $28-$30 per hour, depending on experience

What You'll Do

The following is a list of essential job requirements. This list may be revised at any time and additional duties not listed here may be assigned as needed.

• Process, reconcile and audit bi-weekly payroll for veterinary hospitals across multiple states
• Work with HR to confirm accurate and timely payroll updates, including new hires, terminations, and changes to pay rates
• Ensure accurate calculation of wages, tax withholdings and company deductions
• Perform required account reconciliations as required
• Assist with building and documenting new processes where necessary
• Ensure all pertinent information has been entered into the payroll system for accurate annual tax reporting – to include correct states and locals for lived in and worked in locations
• Assist with applying for and setting up new SIT and SUI or local tax ID's
• Generate special "off-cycle" Bonus payroll runs
• Ability to understand, research and resolve W2 issues
• Serve as a key employee contact to resolve payroll issues
• Train new Managers in Paylocity for Payroll functions
• Assist in ensuring payroll practices remain compliant with all federal, state and local regulations
• Prepare a variety of ad-hoc reports as requested
• Perform other related duties as assigned

Knowledge, Skills, and Abilities

• Must be detail-oriented with strong organizational and problem-solving skills, and the ability to prioritize
• Must have good interpersonal, oral, and written communication skills
• Must be able to maintain confidentially of employee payroll data
• Must be able to work closely and effectively with a diverse employee population
• Proficiency in Microsoft Office Suite (Excel, Outlook, and Word) required
• Experience utilizing Paylocity preferred

Education and Experience

• Associate degree or equivalent in Accounting or related discipline preferred but not required
• Two years directly related, multi-state payroll experience required
• Certified Payroll Professional certification preferred but not required

Physical Requirements

• Dependable attendance is required
• Prolonged periods of sitting at a desk and working on a computer.
• Visual acuity sufficient to maintain accurate records and understand written directions.
• Fine motor skills adequate for utilizing equipment such as a computer, etc.
• Adhere to appropriate dress code.

Work Environment

• This is a hybrid role. Our HQ is located in Portland, ME.
• Must be able to maintain confidentiality while working remotely
• Able to communicate effectively through all provided company devices, software, and platforms
• Maintaining an uninterrupted internet connection is required while working remotely
