Job Summary
Workplace Experience Coordinator is responsible for supporting a welcoming, organized, and high-touch office experience for employees, guests, and visiting partners (“Client”). Services include front-of-house coverage, conference room and meeting support, pantry and beverage operations, and catering and hospitality support in a professional office environment.
Objectives
- Deliver a consistently professional and hospitable arrival and visitor experience.
- Maintain meeting spaces in a ready state to support seamless conference room utilization.
- Operate pantry and beverage areas to cleanliness, organization, and health/safety standards.
- Provide reliable catering receipt, setup, breakdown, and service support for meetings and events.
Reception & Front of House Operations
- Serve as the primary point of contact at the reception desk.
- Answer, screen, and direct incoming phone calls in a professional and courteous manner.
- Greet visitors and guests, and register all guests with building security in accordance with company and building protocols.
- Monitor and manage reception-related emails, responding to inquiries and routing messages appropriately.
- Support conference room reservations, scheduling, and general meeting coordination.
- Assist with the setup and readiness of conference rooms prior to meetings.
- Ensure conference rooms are clean, presentable, and properly stocked before and after meetings.
- Coordinate room resets following meetings as needed.
- Manage daily pantry operations to ensure cleanliness and organization.
- Brew coffee and maintain coffee machines throughout the day.
- Refill beverage stations with cups, lids, sugar, sweeteners, and other supplies.
- Monitor inventory levels and communicate supply needs proactively.
- Ensure general cleanliness and adherence to health and safety standards within pantry areas.
- Receive catering deliveries and verify accuracy of orders.
- Set up food and beverages in conference rooms according to meeting requirements.
- Maintain cleanliness and presentation standards during and after catered meetings.
- Coordinate breakdown and cleanup of catering setups following events.
