Schedule: Monday – Friday, 8:00 AM – 5:00 PM ET
Compensation: Competitive base salary comprehensive benefits (medical, dental, vision, 401k)
A growing, American-owned industrial manufacturer based in South Grafton, MA has exclusively engaged our firm on a retained search for a high-impact Office Administrator. This is a critical, hands-on role at the center of daily operations—ideal for a detail-oriented professional who thrives in an ever changing, all inclusive, manufacturing/industrial environment. This organization is known for its strong values, collaborative culture, and commitment to quality and responsiveness. The Office Administrator will serve as the operational backbone of the front office, interfacing across accounting, payroll, purchasing, and customer service.
The Role
This is an “all-in” position requiring versatility, accuracy, and ownership. You will manage core administrative and financial processes while acting as a key point of contact for both internal teams and external partners.
Key Responsibilities
Accounting & Bookkeeping _(working under Controller)
Manage accounts payable and receivable (invoice processing, coding, reconciliation, collections)
Support general ledger activities including credit card coding, petty cash, and bank reconciliations
Partner with external accounting firm on month-end close and year-end audit preparation
Payroll
Process payroll (Paychex preferred), including timecards, deductions, and compliance
Maintain accurate payroll records and resolve employee inquiries
Procurement & Purchasing
Issue purchase orders for materials, supplies, and services
Coordinate with vendors on pricing, lead times, and order status
Customer Service & Office Operations
Act as the primary point of contact for incoming calls and visitors
Support order entry, invoicing, tracking, and customer communication within ERP system
Oversee general office operations including supplies, filing, and document management
What We’re Looking For
Bachelor’s degree highly helpful but not required.
Great work ethic and default personality is to show up to work
2 years of experience in bookkeeping, AP/AR, payroll, or office administration
Experience in a small to mid-sized business or manufacturing environment preferred
Familiarity with ERP systems
Strong Excel and Microsoft Office skills
