We are seeking a highly organized and proactive Special Projects Coordinator to support our CEO’s Chief of Staff. This is a fantastic opportunity for a motivated self-starter to grow within a dynamic tech company while gaining hands-on exposure to executive-level operations. You'll play a key role in keeping our leaders focused, informed, and effective.
This role will be based in our Boston office, with an expectation of coming into the office five days a week.

What You’ll Do
- Calendar & Schedule Management: Coordinate and manage complex calendars for one or more executives, including scheduling meetings, calls, and travel across multiple time zones.
- Travel Coordination: Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries.
- Meeting Preparation: Prepare meeting materials, take detailed notes, and track follow-up action items to ensure nothing falls through the cracks.
- Event Coordination: Support planning for off-site events, company events, and executive-level meetings.
- 1–3 years of experience in an administrative, coordinator, or executive support role
- Ability to travel up to 25% and flexibility to attend evening/weekend events
- Exceptional organizational skills with strong attention to detail
- Excellent written and verbal communication skills
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets) and/or Microsoft 365
- Ability to manage competing priorities in a fast-paced environment
- High level of discretion and professionalism when handling confidential information
- Strong problem-solving mindset and a "figure it out" attitude
- Familiarity with tools such as Slack, Notion & Zoom
- Base Salary: $60,000-$75,000 annually, depending on experience
