Job Summary: The Assistant Project Manager (APM) supports the planning, coordination, and execution of commercial construction projects from preconstruction through closeout. This role works closely with Project Managers, Superintendents, subcontractors, and internal teams to ensure projects are delivered on time, within budget, and in alignment with project specifications.

Preconstruction
- Assist in preparing and distributing Invitations to Bid (ITBs), including reviewing drawings and identifying qualified subcontractors
- Coordinate and attend job site walks, including:
- Meeting subcontractors onsite
- Documenting attendance and following up with non-attendees
- Capturing site photos and documenting existing conditions
- Collect, review, and analyze subcontractor bids to ensure alignment with project scope
- Perform quantity takeoffs and compare estimates against submitted bids
- Follow up with subcontractors for scope clarification and pricing accuracy
- Assist in assembling and reviewing project estimates prior to final submission
- Support scope development for project pricing
- Maintain and update the internal project pipeline
Project Execution
- Assist with project setup and kickoff coordination
- Distribute startup communications to subcontractors and field teams
- Upload and maintain project documentation in Smartsheet and internal systems
- Coordinate with Project Coordinator to ensure permits, plans, and scope documents are provided to field teams
- Develop, maintain, and track project schedules
- Conduct regular site visits to monitor progress and support field operations
- Prepare and distribute weekly project updates, including schedules and progress photos
- Maintain consistent communication with internal teams, subcontractors, and clients
- Participate in Owner-Architect-Contractor (OAC) meetings and assist with coordination
- Support problem resolution in collaboration with Superintendents and subcontractors
Financial Management
- Assist in tracking and managing project budgets, including contingency usage
- Support invoice review and approval processes
- Identify and assist in resolving budget discrepancies and missing invoices
- Support monthly billing processes and follow up on outstanding receivables
- Prepare and price change orders, generate Requests for Change (RFCs), and maintain tracking logs
- Distribute approved change documentation to field teams
Project Closeout
- Participate in punch walks and assist with punch list completion
- Support Superintendents in driving final project completion
- Assist Project Coordinator with closeout documentation and project turnover
General Responsibilities
- Maintain and update job tracking boards and project records
- Provide support to Project Managers and team members as needed
- Assist in determining project roles and responsibilities based on project scope and client needs

Skills/Abilities:
- Must possess strong business acumen and supervisory skills
- Must have extensive knowledge of construction drawings, plans, and major systems
- Must have a valid driver’s license and be able to safely drive vehicles to and from multiple job sites
- Capable of interrelating with personnel at all levels of construction activity
- Capable of interpreting, advising, supporting, and training staff, community, agencies, and clients
- Capable of moving and climbing ladders, as well as working comfortably on roofs and elevated surfaces
- Standing and walking at large job sites (interior and exterior) for multiple hours and up to 5 miles a day
- Must follow company and client policies and procedures
- Capable of clear verbal, written, and electronic communication
- Must take initiative to complete tasks and look for opportunities to assist other employees
- Personable and professional demeanor, work cooperatively, and customer service oriented
- Organized, task oriented, and follows through in a timely manner
Education/Experience:
- College degree preferred
- Minimum of 3 years’ experience as project manager, or similar role, in commercial construction.
- Strong computer and technical abilities preferred.
