What are the responsibilities and job description for the Accounts Payable position at Rancho De Los Caballeros Ranch & Golf Club, LLC?
ESSENTIAL FUNCTIONS:
- Maintain good office organization.
- Issue accurate and timely preparation and distribution of reports.
- Handle daily accounting duties to include posting, verification, analysis and assisting the Director of Finance
- Ensure that all purchase orders are matched with invoices, check quantities and prices with purchase order, obtain the proper approvals and check invoice extensions.
- Answer all phone calls by stating department and name.
- Input all approved invoices into the computer ensuring proper coding and the correct payment schedule is maintained.
- Printing of all checks, attaching appropriate invoices for backup and checking that two signatures are on all checks prior to mailing.
- Check the vendors monthly statements to ensure that we have processed and paid all outstanding invoices.
- Maintain a daily cash balance on all accounts.
- Issue manual checks after obtaining approved invoices or check request.
- Answer all request on vendors credit applications.
- Ensure that the MAS90 files are backed up nightly and the complete system on a period basis.
- Run period end accounts payable reports aging, check history, trial balance and any other reports required.
- Be able to use MAS90 system for all payables functions.
- Willing to be cross-trained on other accounting functions not just the ones that directly relate to your position.
- Read and comply to all the policies and procedures listed in the H.E.I. Accounting Policies and Procedures Manual.
- Perform any special task or projects as requested.
- Responsible for knowing hotel emergency procedures.
- Perform all duties in a safe way in order to protect both guest and fellow employees.
- Adhere to all hotel policies and procedures and all changes that may occur.
- Carry out a reasonable request by management that I am capable of performing.
- Audit and distribute payroll checks on Wednesday.
- Open and distribute mail and statements after researching.
- Do control log daily.
- Fridal ASAP checks only.
- Process and do collections on all returned checks.
- Research and answer any credit card inquiries daily.
- Any other request from controller or assistant controller.
- Balance out, clean up around your desk daily.
Other:
- Regular attendance in conformance with the standards, which may be established by H.E.I. Hotel’s, from time to time, is essential to the successful performance of this position. Employee with irregular attendance will be subject to disciplinary action, up to and including termination of employment.
- Due to the cyclical nature of the hospitality industry and report deadlines, employee may be required to work varying schedules to meet the business needs of the hotel and report deadlines.
- Upon employment, all employees are required to fully comply with HEI Hotels rules and regulations for the safe and efficient operation of hotel facilities. Employees who violate Hotel rules and regulations will be subject to disciplinary action, up to and including termination of employment.
SUPPORTIVE FUNCTIONS:
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to vary depending upon the particular requirements of the hotel.
- Handle special project assignments as requested by the Controller.

- Good working knowledge of Hospitality accounting systems.

High School diploma and/or any other combination of education and experience that provides the required knowledge, skills and abilities.

Note: The hotel functions seven (7) days a week and twenty-four (24) hours per day. All employees, both management and hourly, must realize this fact and be aware that at times it may be necessary to move an employee from their accustomed shift as business demands.Quality is never an accident.
