Admissions Assistant
Reports To: Director of Enrollment & Admissions
Salary Range: $20.00 – $25.00
Schedule: Full-time (40 hours/week), Monday–Friday; occasional evenings and weekends for events
Position Overview
The Admissions Assistant provides administrative, operational, and data support for student
recruitment, admissions, and enrollment management. This role serves as a key point of contact for
prospective families while also supporting the systems, data tracking, and communication workflows
that drive enrollment strategy.
The ideal candidate is highly organized, detail-oriented, and tech-savvy, with experience working in
databases and spreadsheets. Familiarity with the admissions cycle—particularly in a school or
college setting—is strongly preferred. This role provides a unique opportunity to gain hands-on
experience in admissions, marketing, data management, and event planning—serving as a strong
foundation for future growth in enrollment and education leadership
Key Responsibilities
Admissions Operations and Customer Service
- Serve as a primary point of contact for prospective families, providing timely and professional communication
- Schedule interviews, testing, campus visits, and admissions appointments
- Support application processing and ensure completion of required materials
- Assist with admissions communications and enrollment materials
Data Management and Systems
- Maintain accurate and up-to-date records in the admissions CRM/database
- Manage and track inquiries, applications, and enrollment data
- Support data entry, imports/exports, and list management for events and outreach
- Generate reports and assist with data analysis to support enrollment goals
- Assist in building and maintaining communication workflows (e.g., email campaigns, event
follow-ups)
Events and Recruitment
- Coordinate logistics for admissions events (open houses, shadow days, testing, etc.)
- Support outreach efforts with feeder schools and community partners
- Assist with Student Ambassadors and event volunteers
- Provide on-site support during events, including occasional evenings and weekends
Administrative Support
- Support daily operations of the admissions office
- Assist with special projects and process improvements
- Ensure materials, files, and systems are organized and accessible
Qualifications
- Bachelor’s degree preferred
- 1–3 years of experience in admissions, higher education, school administration, or customer service preferred (including internships or student employment in an admissions or enrollment office)
- Experience working in an admissions office, college setting, or enrollment environment strongly preferred
- Strong technical skills, including proficiency in Excel (data tracking, basic analysis, spreadsheets), google drive and database/CRM systems
- Ability to learn and manage new systems and technology quickly
- Strong organizational skills with attention to detail and accuracy
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced, seasonal environment
- Discretion and ability to maintain confidentiality
- Bilingual English/Spanish preferred
- Availability for occasional evening and weekend events
