Position Summary 

The Data Coordinator is a strategic, technical partner responsible for cleaning, transforming, and migrating data from the outgoing platform through scripting and other processing; integrating and reconciling information across our evolving set of tools; and supporting new phases of implementation. This work demands both meticulous execution and the ability to understand how individual tasks connect to the wider school ecosystem. The Data Coordinator is an active member of our school community, providing training and support to faculty and staff. This is an ongoing role within a vibrant N-12 school community that combines technical expertise with active collaboration across the School. The ideal candidate is motivated by the mission and daily life of the school as much as by the technical work itself and brings genuine curiosity about and respect for the school's culture and community.

Objectives 

  • Maintain accurate, reliable, and well-integrated data across the School's systems. 

  • Support successful system implementations, migrations, and ongoing optimization of data-related systems and workflows. 

  • Improve the consistency, accessibility, and usefulness of data and reporting across School departments. 

  • Identify and address data, process, security, and sustainability risks in support of sound operational decision-making. 

  • Support effective use of the School’s systems through clear documentation, training, and cross-departmental collaboration. 

 

Responsibilities Include 

  • Perform data cleaning, transformation, and reconciliation across school databases, Learning Management Systems (LMS), Content Management Systems (CMS), and other systems, using scripting (e.g., Python) where appropriate for complex or large-scale data work. 

  • Assist with annual rollover, data updates, and start-of-school tasks across systems, including occasional work outside of regular business hours as needed. 

  • Collaborate with school departments to ensure records are maintained accurately across systems with consideration of evolving school needs and an eye toward long-term data health. 

  • Execute ETL (extract, transform, load) work for major system migrations with careful attention to accuracy and data integrity throughout the transition. 

  • Provide technical risk evaluation of new tools or workflows proposed by others, including those built with AI or no-code platforms, flagging data security, privacy, accuracy, or sustainability concerns to the Director before adoption for school use. 

  • Support appropriate user access to data and reports consistent with school policies, permissions, and approval processes. 

  • Create and maintain queries and reports using the School’s Student Information System (SIS), spreadsheet tools, and business intelligence/dashboarding platforms, transitioning away from legacy reporting tools as our systems are modernized. 

  • Support system-specific workflows across departments, including communications and business office systems, as our implementation needs evolve. 

  • Partner with the IT team to support account creation and maintenance in the SIS, LMS, and related systems. 

  • Troubleshoot questions and issues related to the School’s data systems. 

  • Collaborate with faculty and staff to identify opportunities to use existing systems more strategically to support their work. 

  • Proactively research and evaluate new products, workflows, or automation opportunities that could improve efficiency across school processes. 

  • Collaborate with divisional educational technologists and the IT department on training and support needs. 

  • Create training materials as needed. 

  • Document workflows for internal use, supporting continuity of institutional data knowledge. 

  • Maintain the confidentiality, privacy, and security of sensitive student, family, employee, and institutional information in accordance with School policies and applicable requirements. 

  • Maintain a working knowledge of relevant school policies and procedures. 

  • Stay informed about best practices and new developments in the systems and processes relevant to this position. 

  • Perform other duties as assigned by the Director of Data Operations & Analytics 

 

Skills and Competencies 

  • Ability to quickly learn and work effectively with the databases and related systems used by the School.  Experience with systems such as Veracross, Senior Systems, Schoology, or comparable platforms is preferred. 

  • Working proficiency in a scripting language (e.g., Python) for data cleaning or strong aptitude for developing this skill. 

  • Proficiency in spreadsheet manipulation and presentation, including the ability to work comfortably with complex spreadsheets and formulas. 

  • Ability to manage detailed, precise work while maintaining a broader understanding of how individual tasks and projects connect to and impact the School’s systems, departments, and workflows. 

  • Sound technical judgment when evaluating unfamiliar tools and systems, including the ability to recognize when something warrants closer review before adoption. 

  • Creative, critical, and analytical thinking focused on improving processes. 

  • Ability to work efficiently with a high degree of accuracy and attention to detail. 

  •  Exercises sound judgment and discretion and maintains appropriate confidentiality when handling sensitive information. 

  • Strong organizational and time-management skills, with the ability to manage multiple projects and shifting priorities while meeting deadlines. 

  • Ability and willingness to quickly learn new skills and teach them to others. 

  • Identifies practical solutions, collaborates effectively with others, and work independently when appropriate. 

  • Strong interpersonal and service-oriented skills, with the ability to remain composed, professional, and effective in challenging or high-pressure situations.   

  • Strong verbal and written communication skills, including the ability to translate technical information clearly and concisely for wide audiences, with prompt and consistent follow through. 

  • Ability to build effective working relationships across the school community, including with faculty, staff, administrators, and other stakeholders. 

Qualifications 

  • Minimum of three years of experience working in a data-related role. 

  • Experience working in a school environment, preferably N-12. 

  • Understanding of, or ability to quickly adapt to, the rhythms of a school year and the needs of multiple stakeholder groups, including faculty, students, families, and administrators.
