The Facilities Project Administrator plays a key role in keeping RAM Aerospace's capital and facilities improvement projects organized, on schedule, and within budget. Working closely with the Director of Facilities, you will manage the documentation, coordination, and stakeholder communication that turns a project plan into a completed, compliant, audit ready result. This role touches nearly every corner of the business, from Maintenance and EHS to Operations and outside contractors, giving you broad exposure to how RAM's physical infrastructure supports precision manufacturing at scale. Duties And Responsibilities

  • Project Planning & Coordination: Plan, coordinate, and track capital and facilities improvement projects from initiation through completion. Monitor project timelines, costs, and deliverables, identifying risks and escalating issues to the Director promptly so nothing catches the team off guard.
  • Documentation & Compliance: Prepare and maintain project documentation, including scopes, schedules, budgets, change orders, and final close-out packages such as as-builts, O&M manuals, warranties, test reports, and training records. Organize and archive project records, and document lessons learned to support continuous improvement.
  • Stakeholder & Vendor Communication: Act as the secondary point of contact for contractors, vendors, and internal departments on project-related matters, ensuring communication stays clear and consistent throughout a project's lifecycle.
  • Systems & Budget Support: Update the Facilities Management CMMS (FMX) with new assets, equipment data, and related maintenance information. Support the Director in capital budget planning, project prioritization, and gathering data for management reporting.
  • Permitting & Production Coordination: Coordinate permitting, inspections, and turnover and hand-over processes with Maintenance, EHS, and Operations. Schedule project work carefully to minimize impact on manufacturing and production activities.

Requirements

  • Legal: Must be able to pass a comprehensive criminal background check and drug screening. Must be 18 years of age or older.
  • ITAR: Must be a U.S. citizen or national, U.S. permanent resident (current Green Card holder), or lawfully admitted into the U.S. as a refugee or granted asylum (due to ITAR requirements).
  • Associate's or Bachelor's degree in Construction Management, Facilities Management, Business, Engineering Technology, or a related field preferred, or equivalent practical experience. 1 to 3 or more years of experience in project coordination, facilities administration, or construction administration preferred.
  • Strong organizational skills and follow-through, with the ability to manage multiple projects, priorities, and deadlines simultaneously while holding commitments accountable.
  • Excellent written and verbal communication skills, with a collaborative mindset that works effectively across Maintenance, EHS, Operations, contractors, vendors, and internal teams at all levels.
  • Detail-oriented approach to documentation, scheduling, and budgeting, including the ability to read and interpret basic construction drawings, scopes of work, and technical documents.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Experience with project tracking tools or CMMS systems, FMX or similar, is a plus.
  • Basic understanding of building systems, including HVAC, electrical, and plumbing, and construction processes is a plus.
  • Experience in a manufacturing, industrial, or regulated environment is a plus, with aerospace or defense experience and project management coursework or certification as additional pluses.
  • High level of integrity, professionalism, and discretion when handling company and vendor information.
