We’re looking for an Event Coordinator who brings organization, hustle, and heart to support our Sales Team and help execute standout events for Rally Pickleball and Henrietta’s.
The Role
This role is a key support partner to Sales and Operations—helping move events from lead → booked → planned → flawlessly executed. You’ll work directly with guests, assist with sales outreach, manage event details, and ensure our teams have everything they need to deliver seamless, high-impact experiences.

What You’ll DoSupport Sales & Drive Momentum
- Assist with incoming event leads and inquiries
- Support deal pipeline management in TripleSeat and HubSpot
- Call, follow up, and nurture event hosts and prospects
- Assist with sales outreach and lead engagement
- Conduct venue tours and help convert interest into bookings
Plan Exceptional Event Experiences
- Partner with guests to finalize event details, menus, packages, and timelines
- Ensure every host feels excited, supported, and confident leading up to their event
- Deliver a high-touch, high-energy guest experience from start to finish
Execute with Operational Excellence
- Create accurate and thorough BEO (Banquet Event Order) packets
- Coordinate with Operations and Venue Teams to align on staffing, setup, and flow
- Anticipate needs, flag risks, and solve problems before they become issues
- Ensure every event reflects Rally’s standards of excellence, fun, and professionalism
Keep Systems Tight & Details Organized
- Maintain accurate records in TripleSeat and HubSpot
- Track communications, updates, and changes across event timelines
- Support scheduling, reporting, and internal coordination
What We’re Looking For
- At least 1 year of event sales and hospitality experience
- High School Diploma (or equivalent) required
- Minimum of a two-year college degree (associates or similar) required
- Proficiency in Microsoft Office (Outlook, Excel, Word, Sharepoint, Calendar
- Experience in Canva or similar design tools for creating event promotion materials
- Experience using TripleSeat and HubSpot (or similar tools)
- Strong organizational skills and ability to juggle multiple events and priorities
- Confident communicator—both written and verbal
- Comfortable, confident and presentable for guest-facing, high-energy environments

Pay: $22.95 - $27.64 per hour
