Role Description REMA is seeking a dependable, organized, and professional office team member to support the day-to-day administrative operations of the practice. This role as an Office Assistant based in the corporate office will help ensure smooth office workflow, assist with routine business functions, and provide general administrative support across multiple operational areas.

Core Responsibilities
- Provide general administrative support for practice operations.
- Assist with incoming calls, billing inquiries, hospital requests, and routine office communications.
- Coordinate physician scheduling, meeting planning, and calendar support.
- Organize, track, and maintain documents, files, and records.
- Manage office supply inventory, coordinate special events and routine office needs.
- Support credentialing, billing, recruiting, and HR-related processes.
- Assist with onboarding and administrative tasks for physicians, APPs, and staff.
- Prepare letters, forms, spreadsheets, and other business documents.
- Collect, track and distribute incoming and outgoing mail.
- Help coordinate projects and follow up on action items.
- Perform other administrative duties as needed to support the practice.
- Maintain professionalism and confidentiality when handling sensitive information.
Qualifications
- Strong phone etiquette and communication skills, including clear, professional, verbal, and written communication.
- Proficiency in administrative assistance and clerical functions, including filing, data entry, document preparation, and records management.
- Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities.
- Reliability, attention to detail, and a team-oriented mindset to support clinical and administrative colleagues.
- Proficiency with common office software including Microsoft Office with strong working knowledge of Microsoft Excel.
- High school diploma or equivalent required; additional coursework or certification in office administration is a plus.
- Prior administrative, office, healthcare, or provider scheduling experience preferred.
- HR experience and/or Website maintenance experience are strong assets.
