What are the responsibilities and job description for the Dental Admin Team Member position at Raleigh Dental Arts?
About Our Practice
Under the guidance of Dr. Tarun Agarwal, a recognized leader in advanced implant and cosmetic dentistry, our practice delivers transformative, high-level care. Our patients come to us for full-mouth reconstruction, dental implants, and smile design. We combine cutting-edge technology, a highly skilled team, and a patient experience built on trust and confidence.
We are not a general dentistry office. Our practice is built around complex, high-value cases, so the business side has to run as precisely as the clinical side. We’re looking for a sharp, organized administrative professional to own the financial and operational backbone of the practice: insurance, accounts receivable, and reporting. You’ll also be the dependable person who can step in to support patients with treatment and financial conversations when the team needs you.
Who We Are
We’re a culture-driven practice that holds clinical excellence and team excellence to the same standard. We believe:
- Great outcomes come from great communication, with patients and with each other
- Accountability and shared goals drive results
- Growth-minded leadership creates growth-minded teams
- Wins deserve to be celebrated, big or small
- Patient relationships are built on trust, not pressure
We meet regularly, set goals together, and invest in continuous improvement, both individually and as a team.
What You’ll Do
Reporting & Practice Metrics
- Build and maintain regular reports on production, collections, A/R aging, case acceptance, and pending treatment
- Track key performance indicators (KPIs) and present findings to Dr. Agarwal and leadership in team meetings
- Spot trends and problems early, such as rising denials, slow collections, or a stalled treatment pipeline, and recommend solutions
- Keep practice data clean, accurate, and organized in the practice management system
Insurance Verification & Claims
- Verify insurance eligibility and benefits ahead of appointments, especially for high-value implant and restorative cases
- Submit pre-authorizations and track them to resolution
- Prepare accurate patient cost estimates for upcoming treatment
- Submit claims and attachments (narratives, X-rays, perio charts) and follow up until they are paid
A/R Management
- Own the accounts receivable process for both insurance and patient balances
- Work aging reports, follow up on outstanding and denied claims, and handle appeals
- Post payments and reconcile EOBs
- Manage patient statements, payment plans, and collections with professionalism and tact
General Administration
- Support front office operations, including scheduling, patient communication, and records management
- Help create and improve administrative systems and workflows
- Support team meetings, training, and growth initiatives
Treatment Coordination Support (as needed)
- Step in to review treatment estimates and financial options with patients when the team needs coverage
- Help patients with third-party financing applications (e.g., CareCredit, Sunbit, Proceed Finance) and payment plans
- Help follow up on pending and unscheduled treatment
What We’re Looking For
- 2 years of dental administrative experience, with hands-on insurance verification, claims, and A/R work
- Solid knowledge of dental insurance, CDT codes, EOBs, and the claims and appeals process
- Strong reporting skills: comfortable pulling data, building reports, and turning numbers into clear action items
- Proficiency with dental practice management software (Dentrix, Eaglesoft, Open Dental, or similar) and Excel or Google Sheets
- Highly organized, detail-driven, and accountable; you don’t let things slip through the cracks
- A clear, professional communicator with patients, insurance companies, and the team
- Treatment coordination or financial presentation experience is a plus, but not required
- A coachable, growth-oriented mindset, and you want to build a career, not just fill a role
Why You’ll Love It Here
- Competitive compensation
- Direct mentorship from a nationally recognized leader in implant and cosmetic dentistry
- Leadership that listens and invests in your growth
- Clear expectations, defined goals, and a team that holds itself to a high standard
- Real opportunity to grow personally, professionally, and financially
- A team that genuinely enjoys the work and each other
