Weekend Client Relations & Scheduling Coordinator
This is a remote position open to U.S.-based candidates. Applicants must be available Saturdays and Sundays from 8:00 AM to 7:00 PM Mountain Time.
Rainbow Grooming Company is hiring a Weekend Client Relations & Scheduling Coordinator to manage client communication, scheduling, and weekend operational support.
This is a complex, high-responsibility role that sits at the center of the client experience and the weekend schedule. The person in this role will answer calls, respond to texts, handle chats and website inquiries, support existing clients, guide new clients through booking, help reschedule appointments, manage online booking requests, and coordinate closely with the Care team and other internal personnel throughout the day.
The right candidate is emotionally mature, highly organized, calm under pressure, exceptionally polished in communication, and able to manage many moving parts at once without losing professionalism, empathy, or accuracy.

What this role is responsible for
- Answering incoming phone calls from new and existing clients
- Responding to a high volume of client text messages throughout the day
- Responding to website chats, social media inquiries, emails, and online booking requests
- Scheduling new appointments for new clients and existing clients
- Rescheduling existing appointments clearly, efficiently, and professionally
- Reviewing and approving online booking requests only after verifying that the appointment details are appropriate
- Asking critical grooming and scheduling questions so groomers arrive prepared for the services needed
- Supporting pet parents with professionalism, empathy, and good judgment, including when a pet is sick, has passed away, or a client needs thoughtful guidance
- Using company resources, including a custom knowledge base, to answer questions accurately and support clients well
- Communicating with groomers and maintenance personnel throughout the weekend regarding important schedule changes and operational needs
- Managing recurring schedule changes, including cadence adjustments and future booking updates
- Looking ahead at the schedule to make sure it is realistic, efficient, and on track
- Coordinating appointments in a way that accounts for drive times, service areas, realistic stacking, and route efficiency
- Reviewing the map and the day’s schedule to determine the best available appointment options while live on calls or responding to client messages
- Managing multiple ongoing conversations at once, including unresolved open text threads that may pause and resume over hours or days
Sales and client relations
