Position Summary

Rae's Events is seeking a highly organized, proactive, and detail-oriented individual to join our team as an Event Planner. This hybrid role is crucial for both the efficient management of our client projects and the successful execution of events. The ideal candidate will provide essential administrative support while also contributing directly to event planning and on-site coordination.

Key ResponsibilitiesI. Event Planning and Coordination (70%)

  • Client Management: Assist with all phases of event planning, including discovery, design, vendor selection, and final logistics.
  • Vendor Relations: Manage communication and contracts with vendors (caterers, florists, rental companies, etc.).
  • Logistics & Timeline: Develop, maintain, and distribute detailed event timelines and production schedules.
  • Event Assistance: Serve as an on-site assistant for event execution as needed. This includes setup, breakdown, managing vendor arrivals, and troubleshooting on the day of the event.
  • Design Support: Assist with creative tasks, including sourcing design elements, developing mood boards, and creating floor plans.

II. Administrative Tasks (30%)

Performing administrative duties as required by Rae's Events, including but not limited to:

  • Vendor and Client Communication: Draft and manage professional correspondence, follow-up emails, and onboarding materials.
  • Marketing Support: Assist with light social media scheduling, content organization, or updating the company website/portfolio as needed.

Qualifications and Skills

  • Proven experience in event planning, hospitality, or a strong administrative role is preferred.
  • Exceptional organizational skills and meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Google Workspace (Docs, Sheets, Calendar).
  • Ability to manage multiple projects simultaneously and thrive in a fast-paced environment.
  • Proactive, solution-oriented mindset with the ability to handle pressure calmly.
  • Must be able to work flexible hours, including evenings and weekends, especially on event days.

Compensation

Work Week Goal: The goal is to manage the total work schedule (planning, administrative, and event time) to 40 total hours or less per week (Sunday–Saturday) at an annual rate of $48,000.00.

Paid Time Off (PTO): Two weeks (10 working days) of Paid Time Off

Overtime Compensation: Any hours worked over 40 total hours in a given week will be compensated at the federally mandated overtime rate of time-and-a-half (1.5x) your regular hourly rate.

  • Note: Long single event days are managed by reducing administrative or other duties during the rest of the week to maintain the 40-hour goal.

Travel Compensation:

  • Travel time for an event (day-of, site visits, rehearsals) exceeding one hour round trip will be compensated and count toward the 40-hour work week.
  • Travel time under one hour round trip is considered routine and will not count toward the work week.

Bonus Structure: Opportunity for a structured bonus system based on business development. A flat rate or percentage bonus will be defined and paid for booked leads you bring in from outside sources not currently engaged by the company.

Pay: From $48,000.00 per year
