The Payroll & Accounting Specialist is responsible for the accurate and timely processing of payroll while supporting key accounting and accounts payable functions. This role ensures compliance with federal, state, and local regulations, administers retirement plan processes, and assists with reporting and reconciliations. The ideal candidate is detail-oriented, organized, and comfortable working cross-functionally with HR, Finance, and employees.
Qualifications:Payroll Administration
- Process semi-monthly payrolls for all employees in accordance with company policies and deadlines.
- Review and validate employee hours, commissions, bonuses, and pay adjustments.
- Ensure accurate calculation of wages, taxes, benefits, deductions, garnishments, and payroll adjustments.
- Maintain employee payroll records and system data within Paycom.
- Audit payroll reports before submission to ensure accuracy and compliance.
- Respond to employee payroll inquiries and resolve discrepancies promptly.
- Coordinate with HR regarding new hires, terminations, leaves of absence, benefit changes, and compensation updates.
- Ensure compliance with federal, state, and local payroll tax regulations.
- Assist with year-end payroll activities, including W-2 preparation and reporting.
Retirement & Benefits Administration
- Manage 401(k) payroll integrations and ensure timely and accurate contribution processing.
- Monitor employee eligibility, enrollments, deferrals, loans, and distribution requests.
- Coordinate funding for employee and employer contributions with plan providers.
- Assist with annual true-ups, nondiscrimination testing support, and audit requests.
- Partner plan administrators to maintain compliance with retirement plan requirements.
Accounting & Accounts Payable Support
- Reconcile payroll-related accounts and prepare payroll journal entries.
- Support month-end and year-end close processes.
- Assist with general ledger reconciliations related to payroll, benefits, and employee expenses.
- Support Accounts Payable by processing invoices, verifying approvals, and maintaining vendor records.
- Ensure accurate coding and documentation.
- Provide documentation and reporting support for internal and external audits.
- Identify and recommend process improvements to enhance efficiency and internal controls.
- Complete questionnaires for customers and Insurance policies.
Qualifications
- 4 years of payroll processing experience, including multi-state payroll.
- Experience supporting 401(k) administration and retirement plan processes.
- Working knowledge of Accounts Payable processes and general accounting principles.
- HRIS experience required; Paycom experience preferred.
- Strong knowledge of payroll regulations, wage and hour laws, and payroll tax compliance.
- Excellent attention to detail with strong analytical and problem-solving skills.
- Strong organizational and time-management skills with the ability to meet deadlines.
- Excellent communication and customer service skills.
- Collaborative, fast-paced environment supporting Finance and HR operations
- Proficiency in Microsoft Excel required.
- Hybrid 2-3 days per week.
