Position Overview:
The Office Administrator will be responsible for overseeing the day-to-day operations of the office and Community Center. This position is a key role in ensuring the organization runs smoothly, with a focus on office management, operational support, and assisting the Executive Director and staff in various tasks to support the nonprofit’s mission and goals. Strong support of the mission and vision of the organization must be at the forefront of the heart of those applying for this position.
Key Responsibilities:
Office & Community Center Management:
- Maintain an organized, efficient, and welcoming environment for both the office and Community Center.
- Perform office cleaning as needed, including taking out trash weekly, and watering plants
- Keep outside walkways clear and safe
- Maintain decor inside and outside the Center
- Purchase, pick up, and restock materials needed
- Provide hospitality support for meetings and events (including evenings and weekends)
- Clean and prepare the Community Center, welcoming the intended group
- Plan and procure refreshments; including set-up and clean-up
- Handle office supplies and equipment management, ensuring that supplies are stocked and functioning. Purchase supplies and return supplies to the store as needed.
- Oversee the organization’s filing system (digital and physical), ensuring all records are properly maintained and easily accessible.
- Create and oversee the Community Board
- Organize and maintain storage of seasonal and event materials
- Serve as the point of contact for all office-related inquiries.
Executive Director & Administrative Support:
- Provide administrative support to the Executive Director, including managing calendar, scheduling meetings, and managing follow up.
- Provide administrative support to the Director of Programs, as well as the Associate Director of Programs
- Run errands, picking up orders, as needed.
- Prepare and organize materials for meetings: including agendas, reports, and presentations; attend meetings and take minutes, send out a recap with follow-up assignments
- Support staff & Leadership Team by scheduling meetings, using Google Calendar and Team Up.
- Organize and maintain testimonials, photos, and timely communications with the Social Media Coordinator.
- Provide support to the Community Outreach Coordinator, Events Coordinator, Volunteer Coordinator, Donor Database Coordinator, Holiday Hope team, etc. as needed.
- Answer phone calls, respond to emails, and manage general inquiries from staff, clients, and stakeholders.
- Point of contact for all contracted communications and maintenance
- Assist in maintaining and updating material on the Radiant Hope website
- Create handwritten correspondence
- Manage and coordinate mailings: including the annual end-of-year mailing, package pickups, deliveries, etc.
- Oversee the tracking of stakeholder data as well as organizational structure documentation.
- Maintain the Constant Contact database, updating and pulling reports as needed
- Assist with HR-related tasks such as onboarding new staff and volunteers
- Assist with various special projects and initiatives as assigned.
Qualifications:
- Proven experience as an office manager, executive assistant, or in a similar administrative role (nonprofit experience preferred).
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent verbal and written communication skills.
- Proficient in Google Suite. Familiar with Canva, WIX, Constant Contacts, and other relevant office software.
- Ability to work independently and as part of a team.
- High level of professionalism, attention to detail, problem-solving skills, and a “can-do” attitude.
- Handle confidential information with discretion

Education & Experience:
- 2 years of experience in office management, preferably in a nonprofit setting.
Compensation:
- $20-25 an hour, depending on experience.
