Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic team. The ideal candidate is honest with high integrity and great social skills and organizational skills. This role requires a proactive individual with strong communication skills and the ability to manage multiple tasks efficiently and accurately. As an Administrative Assistant, you will play a key role in representing our office, welcoming clients, enhancing productivity and contributing to the overall success of our organization.
This is an office position, and not a counseling position, and we are looking for someone who can make a longer term commitment than just one year.
In terms of schedule, we need someone in office Tuesdays and Wednesdays as an absolute must, and at least half a day Fridays would be preferred, for a total of 15-20 hours per week.
Responsibilities
- Handle incoming phone calls and information collection for call triage.
- Verify insurances and obtain authorizations. Trouble shoot insurance problems.
- Perform data entry tasks accurately and efficiently.
- Provide administrative support, including managing calendars and scheduling appointments.
- Initiate, manage, organize and close client files in a detail oriented manner.
- Assist with clerical duties such as filing, organizing documents, and maintaining office supplies.
- Communicating with patients, referral sources, and provider offices for records requests via secure email and fax.
- Proofread documents for accuracy and clarity before distribution.
- Handle phone calls with professionalism, demonstrating excellent phone etiquette.
- Utilize office software for document creation, spreadsheets, and record keeping.
- Assist in coordination of office staff and use of patient rooms.
- Act as a personal assistant to senior management, ensuring timely completion of tasks.
Experience
- Proven experience in an administrative or clerical role is preferred.
- Familiarity with data entry processes and office management practices.
- Proficient in Google Suite applications (Docs, Sheets, Drive).
- Experience with OfficeAlly is a plus, but not required.
- Strong proofreading skills with attention to detail.
- Excellent calendar management abilities and organizational skills.
- Ability to communicate effectively both verbally and in writing.
- Detail -oriented organizational skills are required in every task.
