Duties
- Organize, classify, and maintain both physical and electronic records using record management systems (RMS) such as iManage and SharePoint.
- Ensure proper filing, indexing, and retrieval of documents in accordance with established taxonomy and metadata standards.
- Manage records retention schedules to guarantee compliance with legal and regulatory requirements, including government records management standards.
- Digitize physical records to facilitate electronic records management and improve accessibility across departments.
- Conduct archival processing following archival standards and oversee the preservation of historical records.
- Support information security protocols by safeguarding sensitive data and ensuring access controls are properly implemented.
- Proofread documents for accuracy, consistency, and adherence to organizational policies before final filing or dissemination.
Skills
- Proficiency with document management systems (DMS), record management systems (RMS), and content management systems like SharePoint.
- Strong understanding of metadata, taxonomy, and classification principles for effective information organization.
- Knowledge of records retention policies, compliance management, and regulatory standards related to government and corporate records.
- Experience with physical records management, digitization processes, and archival processing techniques.
- Familiarity with electronic records management (ERM) tools such as iManage or similar platforms.
- Excellent organizational skills with the ability to manage multiple priorities efficiently in a fast-paced setting.
- Attention to detail for proofreading, data management, and ensuring accuracy in all documentation activities.
- Basic knowledge of information security practices to protect confidential data and support compliance efforts.
