Job Purpose & Summary:
This position is responsible for sourcing, purchasing and managing inventory of Plumbing and HVAC materials, equipment and supplies. This role works closely with vendors and internal stakeholders to ensure timely delivery, cost control and quality compliance while maintaining optimal inventory levels.
Essential Functions
Purchasing & Sourcing
- Source, negotiate, and purchase HVAC units, plumbing fixtures, piping, and related materials in accordance with project specifications, schedules, and budgets.
- Evaluate supplier pricing and availability to ensure best value and continuity of supply.
Vendor Management
- Develop and maintain strong vendor relationships.
- Maintain up-to-date vendor price lists and terms.
- Negotiate pricing, freight, and payment terms to reduce overall costs.
Inventory Control
- Forecast material demand based on Branch needs and historical usage.
- Maintain optimal inventory levels to prevent shortages, delays, or overstock.
Order Management
- Prepare, review, and issue purchase orders (POs).
- Verify POs against take-off sheets and project requirements for accuracy in quantities, specifications, and pricing.
- Review vendor acknowledgments and resolve discrepancies.
- Communicate material lead times, substitutions, and delivery updates.
Logistics & Expediting
- Track deliveries and proactively expedite materials as needed.
- Ensure complete and timely delivery to job sites.
- Resolve issues related to late, damaged, or incorrect shipments.
Other duties as assigned.
Education/Experience
- Experience:
- 3–5 years of direct procurement/buyer experience, preferably focused on HVAC and plumbing materials.
- Technical Knowledge:
- Strong understanding of HVAC and plumbing systems, materials, and fixtures.
- Software Skills:
- Proficiency with ERP systems (Solar Eclipse strongly preferred).
- Experience with inventory management tools.
- Advanced working knowledge of Microsoft Excel and Microsoft Office Suite.
- Communication & Negotiation Skills:
- Strong negotiation capabilities.
- Ability to communicate effectively with vendors, project teams, and field personnel.
