Office Manager Position
The R.E. Olds Transportation Museum is hiring an Office Manager. This is a full-time position with an annual salary of $32,000. Overtime is compensated with time off.
Employee benefits include health insurance (including dental and vision), 10 days paid time off, 5 sick days, and personal days as outlined in the employee handbook. An “in lieu of” health benefits payment of $150 per month will be offered.
Typical hours of operation are Tuesday- Friday, 9:00 am to 5:00 pm, and Saturday from 9 am to 12 pm. The position is supervised by the director, and the position supervises visitor service associates.

The Office Manager’s primary responsibility is to coordinate the day-to-day operations of the museum. This includes:
1. The Office Manager oversees the day-to-day operations of the museum.
2. Processes and records donations and manages the hallway donor display.
3. Processes and records memberships, assists with the membership program.
4. Records visitor statistics.
5. Coordinates event rentals, including assigning pricing, reviewing event agreement paperwork with clients, collecting payments, directing setup, and scheduling staff, and personally staffing rentals as needed..
6. Opening and closing the museum building when no visitor service associate is present. Making sure all exhibits are ready for visitors.
7. Operates the front desk as needed when no visitor services associate is present,
serving as the first line of contact for visitors.
8. Along with the director, trains new visitor service associates.
9. Oversees the operation of the gift shop, including managing inventory.
10.Maintains gift shop area, office area, entry, and sidewalk. Includes snow removal on the sidewalk during winter.
11.Maintains the point of sale system and, along with visitor service associates, is responsible for balancing the cash register.
12.Coordinates group tour reservations, including scheduling docents.
13. Answers the main phone line as needed and directs calls.
14.Manages the general information email account, autos@reoldsmuseum.org.
15.Manages the shared office calendar.
16. Handles online store sales, mailings, and other shipping needs.
17. Handles the weekly bank deposit, makes change for the cash register, and monitors
petty cash.
18.Collaborates with Ex. Director and accountant are to ensure that expenditures and
incomes are correctly reported in QuickBooks.
19. Orders office supplies as needed.
20. Other duties as assigned by the Executive Director.
Required skills and qualifications
• Two or more years of experience in office management
• Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
• Proficiency with office applications, such as QuickBooks, and aptitude for learning new software and systems
• Ability to maintain confidentiality of company information
Preferred skills and qualifications
• Bachelor’s degree or equivalent
• Experience in developing internal systems
• Advanced computer skills and experience with online platform
