Role Summary
The Equipment & Fleet Coordinator plays a critical role in overseeing the health, movement, and documentation of R Construction’s trucks, trailers, heavy equipment, and small tools. This position combines the skillset of an automotive service manager, construction fleet administrator, and asset protection specialist. You’ll manage maintenance workflows, track field assets, coordinate equipment logistics, and ensure regulatory and safety compliance across our fleet.
This is a high-responsibility, high-visibility role that supports both daily field operations and long-term cost control.
Key Responsibilities
Fleet & Equipment Management
- Maintain service logs and preventative maintenance schedules for all trucks, trailers, heavy equipment, and shop vehicles
- Coordinate repairs, diagnostics, and inspections with internal technicians or external service providers
- Oversee GPS, telematics, and geofencing systems to monitor usage, idle time, and unauthorized movement
- Track vehicle registration, insurance, and DOT compliance deadlines
- Manage and update equipment lifecycle logs, depreciation schedules, and warranty tracking
- Review vehicle and equipment utilization reports to support replacement planning and capex forecasting
Tool & Asset Protection
- Tag and log all tools and small equipment with asset IDs (QR codes or RFID preferred)
- Maintain up-to-date check-in/check-out records for tools issued to crews and jobsites
- Conduct regular audits of tool trailers, gang boxes, and yard inventory
- Coordinate theft recovery efforts and manage claims/documentation in case of loss
- Reorder consumables and essential small tools to ensure crew readiness
Logistics & Jobsite Support
- Schedule mobilization and demobilization of equipment and tools to/from active projects
- Support jobsite launches with delivery of signage, fencing, generators, lighting, safety kits, and portable toilets
- Coordinate with Project Managers to ensure field teams have what they need, when they need it
- Track field usage reports for major equipment and assist in aligning field needs with project budgets
Systems, Reporting & Compliance
- Enter and maintain records in Contractor Foreman, QuickBooks Online, and Google Sheets
- Create weekly reports on equipment health, downtime, and service backlog
- Maintain visibility dashboards for the entire fleet and shop inventory
- Ensure compliance with OSHA, DOT, and environmental regulations (e.g., spill kits, fire extinguishers, load securement)
Qualifications
- 3–5 years of experience in fleet management, heavy equipment coordination, or shop service administration
- Familiar with GPS tracking, telematics platforms (e.g., Verizon Connect, Tenna), and digital inspection tools
- Strong understanding of maintenance workflows, repair diagnostics, and vendor management
- Organized, proactive communicator who can work under pressure and solve problems in real time
- Competent with Contractor Foreman, Google Workspace, QuickBooks, or similar systems
- Comfortable working in mixed environments—office, shop, yard, and field
Preferred Skills
- Knowledge of underground utility or civil construction operations
- Forklift operation, CDL (or knowledge of DOT/CDL regulations)
- Experience with OSHA and DOT inspection protocols
- Inventory management systems or asset tracking software experience
- Ability to read and interpret equipment manuals and inspection records
