The Executive Assistant / Office Manager is responsible for high-level executive support and ensuring smooth day-to-day office operations. This role plays a key part in maintaining communication across departments and supporting company leadership.
Key Responsibilities
Executive Support:
- Provide high-level administrative support to the General Manager and senior leadership.
- Manage calendars, travel arrangements, appointments, and meeting logistics.
- Draft reports, presentations, agendas, and internal communications.
- Take and distribute meeting minutes and follow up on action items.
- Handle sensitive and confidential information with discretion.
- Oversee office supplies, facilities, and vendor relationships.
- Maintain an organized, professional, and safe office environment.
- Coordinate employee engagement events and company-wide communications.
- Manage mail, filing systems, and internal communication platforms.
- Perform light bookkeeping, expense reporting, and tracking operational KPIs.
- Support basic onboarding tasks (e.g., badges, credit cards, company phones).
- Provide administrative support to HR functions during peak periods or absences.
- Coordinates all employee recognition programs and activities.
- Bachelor’s degree and 2 years’ experience or 3-5 years’ experience in a similar role.
- Prior experience supporting executives; manufacturing or industrial setting a plus.
- Proficiency in Microsoft Office Suite and basic familiarity with ERP/HR systems (AS400, ADP, etc.).
- Strong organizational, communication, and multitasking skills.
- High discretion with confidential information.
Salary : $65,000 - $75,000
