Responsibilities
- Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
- Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently.
- Handle all clerical tasks such as data entry, filing, proofreading, and maintaining office supplies.
- Support office management activities including calendar management, appointment scheduling, and personal assistant duties.
- Utilize computer skills with proficiency in Microsoft Office, Google Workspace, QuickBooks, and other relevant software to prepare documents and reports.
- Maintain accurate records through meticulous filing systems and data entry processes.
- Provide excellent customer support by addressing questions or concerns professionally and courteously.
Experience
- Prior medical office and administrative experience is preferred but not required; enthusiasm to learn is key!
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment and must have health insurance industry experience.
- Excellent phone etiquette and communication skills in both English and bilingual capabilities are highly valued.
- Proficiency in computer literacy, including typing speed and familiarity with Microsoft Office applications and Google Workspace tools.
- Experience with office management tasks such as calendar management, bookkeeping (e.g., QuickBooks), and data entry will be advantageous.
- Demonstrated ability to handle clerical responsibilities like proofreading, filing, and maintaining organized records.
