Position Summary
We are seeking a skilled and experienced Client Services Specialist (CSS) to join our growing team. This is not an entry-level role—we are looking for a professional with a proven background in financial services client support. The ideal candidate is positive and approachable, passionate about client service, an effective communicator, meticulous, reliable, proactive, and highly organized.
This role will be based in our Dallas headquarters, supporting all our offices. The CSS will work closely with our Operations Manager, Advisors, and fellow CSSs to deliver exceptional service and operational support in a fast-paced, dynamic environment.
Core Responsibilities
- Wealth Advisor Support:
- Provide day-to-day support to Wealth Advisors, including handling inbound/outbound calls related to account setup, money movement, transfers, retirement services, and other account maintenance tasks.
- Client Relationship Management:
- Build trust and inspire confidence through exceptional service. Prepare and follow up on onboarding paperwork, custodial forms, and money movement documentation. Facilitate transactions using custodial platforms with precision and care.
- Operational Excellence:
- Manage account onboarding, transfers, and ongoing maintenance. Coordinate with custodians, internal teams, and clients to resolve service requests efficiently. Maintain workflows and documentation in CRM systems to ensure accuracy and timeliness.
- Documentation & Presentation Support:
- Prepare forms, financial plans, and presentation materials for advisors. Organize and update client files and documentation.
- Collaboration:
- Contribute to operations projects and process improvements. Provide backup support for phone communications and scheduling when needed.
Qualifications
- Experience:
- 2 years in a client service role within an RIA, financial advisory, or brokerage environment
- Experience with Salesforce CRM or similar platforms
- Familiarity with Fidelity Wealthscape or other custodial systems
- Experience with Black Diamond or similar portfolio reporting tools
- Skills:
- Excellent verbal and written communication
- Strong attention to detail and organizational skills
- High standards of professionalism, ethics, and integrity
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with eMoney or other financial planning software (preferred)
- Education:
- Bachelor’s degree or relevant work experience in financial services
