The Role
As an Office Receptionist, you are the first point of contact for our clients and play a key role in shaping their experience with our firm. This position is ideal for someone who is organized, detail-oriented, and confident in communicating with new clients in a fast-paced environment. Your role goes beyond front desk support. You will help guide potential clients, understand their needs, and ensure they are connected with the right team promptly and effectively.
Responsibilities
- Greet clients and visitors, ensuring a warm and professional experience from the moment they arrive
- Manage front desk operations, including answering calls and directing inquiries appropriately
- Handle initial client inquiries and identify their needs to guide them to the appropriate next steps
- Engage with potential clients, understand their situation, and guide them toward the appropriate service within the firm
- Support client intake by capturing accurate information and ensuring timely follow-up
- Schedule appointments and coordinate with internal teams
- Maintain organized records and handle sensitive documentation with confidentiality
- Support administrative tasks such as scanning, filing, and data entry
- Communicate clearly with clients in both English and Spanish
- Collaborate with team members to ensure client needs are met in a timely manner
