About the Role

As the Event Program and Execution Manager, your contribution to the organization will ensure operational success by achieving alignment through defining, communicating, and managing standards to ensure the event operations team has the tools and information required to deliver a successful event according to all parties.


You will also play a central role in supporting the Event Operations team through direct planning and on-site execution responsibilities. This role requires a balance of strategic program ownership and hands-on event planning ensuring that Quint delivers best-in-class guest experiences while meeting financial and partnership deliverables.

Reports to: Sr. Event Program Manager


Core Responsibilities


  • Serve as the primary operational relationship owner for assigned program(s), ensuring alignment of expectations, deliverables, and partnership goals.
  • Identify opportunities to strengthen relationships that align with Quint’s strategic objectives.
  • Aid in gathering and distributing expectations from the Partner and Product Management teams to the Event Operations team.
  • Own the resolution of issues that may arise in the operational relationship, using a proactive and solution-oriented approach.
  • Provide status reports for all projects to your immediate supervisor along with assigned program(s).
  • Translate partnership objectives and business priorities into actionable event strategies.
  • Ensure program decision and operational plans align with company and partner KPS’s, brand standards and growth initiatives.

Internal Liaison

  • Focus on achieving alignment through defining, communicating and managing standards to ensure the event operations team and external partner teams have the tools and information needed to execute planning and onsite activities.
  • Maintain up-to-date documentation and tracking of partnership and team agreements, key contacts, and communications.
  • Facilitate regular meetings and updates with internal stakeholders and partners to address operational challenges, opportunities and progress.
  • Provide escalation support during planning and on-site delivery to ensure alignment with program standards.

Forward Planning

  • Anticipate program needs and integrate forward planning strategies with internal stakeholders to maximize event and partnership success.
  • Take ownership of gathering, consolidating, and presenting post-event feedback, future action plans, and best practices across the organization.
  • Engage in product ideation and feasibility in the launch process of new products or activations ensuring adherence to budget and partnership expectations.
    • Including but not limited to the coordination of initial site visits as needed, ensuring venues meet all logistical, technical, and operational requirements for successful event execution.
  • Support budget adherence with an operational focus on event margin and operational efficiencies.

Event Planning and On-Site Delivery

  • Collaborate closely with the Event Operations team on the tactical planning, vendor coordination, and detailed execution of the assigned program (hospitality, fulfillment, ticketing, run of show documentation, etc.) for 22 annual events, ensuring all deliverables align with the Event Operation Team’s vision and timeline.
  • Provide critical program support for both pre-event planning and seamless on-site delivery, specifically assisting with the management of complex processes like guest order fulfillment, hospitality planning, developing standardized documentation/templates, overseeing key vendor relationships, and delivering guest experiences on-site to maintain a high-quality guest experience.
  • Execution of hospitality and/or logistics functions on-site (ticketing, fulfillment, F&B, branding, transportation, guest movement, vendor management) according to assigned roles at 18 events annually.

Requirements


Education and Experience

  • 4 years’ progressive experience in event planning and program/account management.
  • Sporting events, entertainment, and/or live experiences are strongly preferred.
  • Experience managing and supporting budgets of at least 500K USD.
    • Experience with highly variable budgets or budgets to sales preferred.
  • Experience across multiple sectors (agency, venues, league, corporate) preferred.
  • Proven ability to manage complex partnerships and multi-stakeholder relationships
  • Strong project management skills with experience in cross- functional communication and documentation tools.
  • Bachelor’s degree in Hospitality Management, Business, Marketing, or related field.
  • Proficient computer skills including but not limited to Excel, CRM software, and project management tools.
  • Bi/multilingual preferred.

Physical

  • Prolonged periods sitting at a desk and working on a computer.
  • Extensive walking and standing for periods greater than 12 hours while at events.
  • Must be able to lift up to 30 pounds/14 kilograms.
  • Full time in-person based in the Charlotte, NC/London, UK office.
  • Requires flexibility to work long hours and weekends, as needed, in addition to having the ability to travel up to 80% - targeted travel 40-60%.
  • Willing and eligible to travel internationally.
