Position Summary
Queens Defenders seeks a highly organized and detail-oriented Compliance Administrator to oversee and ensure organizational compliance with contractual obligations, regulatory requirements, quality management standards, and internal policies related to the delivery of housing legal services. The Compliance Administrator will play a critical role in monitoring program performance, ensuring accurate data management and reporting, coordinating staff training initiatives, and supporting continuous quality improvement efforts across the organization.
The Compliance Administrator, reporting to the Executive Director, will work collaboratively with leadership and multidisciplinary staff to ensure compliance with funding requirements, client service goals, and reporting obligations. This position reports directly to the Executive Director, will work closely with members of the executive team, and regularly provides reports and updates to the Board of Directors.
Essential Duties and Responsibilities
Compliance Oversight & Monitoring
Oversee and direct organizational compliance with contractual obligations, grant requirements, and applicable regulations related to housing legal services.
Monitor compliance with annual client representation targets and ensure benchmarks for legal representation services are met.
Develop, implement, and maintain compliance monitoring systems, protocols, and internal controls.
Conduct regular audits and reviews of case management, documentation, and service delivery practices.
Ensure accurate and timely data entry of legal and program information into Legal Server and other required databases.
Monitor Social Worker caseloads to ensure compliance with program standards, service delivery expectations, and reporting requirements.
Identify compliance risks and recommend corrective actions and quality improvement measures.
Training & Quality Management
Provide oversight and coordination of compliance-related training initiatives for all staff, including:
Senior Attorneys
Staff Attorneys
Junior Attorneys
Housing Navigators
Intake Specialists
Social Workers
Paralegals
Legal Assistants
Administrative and support staff
Develop and conduct training programs related to compliance standards, documentation practices, data management, contractual obligations, and quality assurance.
Maintain training schedules, attendance records, and documentation of staff compliance with required trainings.
Support continuous quality improvement initiatives across departments.
Reporting & Documentation
Prepare and present monthly, quarterly, and annual compliance and training reports for the Executive Director and Board of Directors.
Generate reports related to compliance performance, training activities, service outcomes, and corrective action initiatives.
Lead the development and coordination of responses to Corrective Action Plans (CAPs), including tracking implementation and monitoring outcomes.
Ensure timely submission of reports required by funders, regulatory agencies, and organizational leadership.
Collaboration & Administrative Support
Collaborate with program leadership to ensure alignment between operational practices and contractual requirements.
Serve as a liaison with internal departments regarding compliance standards and reporting expectations.
Participate in organizational planning, audits, and quality management activities.
Support special projects and additional compliance initiatives as assigned.
Qualifications
Education:
Bachelor’s Degree required.
Master’s Degree in Public Administration, Social Work, Law, Business Administration, Healthcare Administration, or a related field preferred.
Experience
Minimum of 3–5 years of experience in compliance, quality management, training, program monitoring, or related administrative functions.
Experience working in legal services, nonprofit organizations, social services, housing programs, or public interest environments strongly preferred.
Experience with case management systems and data reporting platforms, preferably Legal Server, preferred.
Knowledge, Skills & Abilities
Strong knowledge of compliance practices, quality assurance principles, and regulatory reporting requirements.
Excellent organizational, analytical, and problem-solving skills.
Ability to develop and deliver effective staff training programs.
Strong written and verbal communication skills, including report writing and presentation abilities.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Proficiency in Microsoft Office Suite and database management systems.
Ability to work collaboratively within a diverse leadership team.
