Shipping Administrator

Description

Position Purpose

The Shipping Administrator is responsible for overseeing and coordinating the daily operations of the warehouse, ensuring efficient processing of shipments, accurate record-keeping, and maintaining inventory. This role involves supervising warehouse staff, managing paperwork and documentation, addressing inquiries, and ensuring compliance with safety regulations. The Warehouse Administrator plays a key role in maintaining an organized and productive warehouse environment while supporting overall operational goals.

Principle Accountabilities:

Inventory Management

• Maintaining accurate inventory records using Warehouse Management Systems (WMS)
• Receiving, inspecting, and logging incoming shipments
• Conducting regular inventory audits and cycle counts
• Ensuring proper storage and organization of goods within the warehouse

Shipping and Receiving

• Packing, labeling, and preparing outgoing orders for shipment.
• Coordinating with shipping carriers and suppliers.
• Ensuring timely and accurate shipping of orders.

Primary Duties:

• Support without hesitation General Plant Safety, Food Safety, Food Defense Initiatives and Good Manufacturing Practices with an understanding that these are absolute and are Priority #1.
• Process all necessary paperwork and documentation related to warehouse operations, including inventory records, shipment details, and other relevant documentation.
• Maintain accurate and up-to-date records of inventory, shipments, and other related data for efficient warehouse management.
• Answer phones, emails, and other inquiries related to warehouse operations, ensuring timely and accurate responses.
• Supervise warehouse staff, delegating tasks, providing guidance, and ensuring that team members follow operational procedures effectively.
• Ensure compliance with safety regulations and warehouse procedures, maintaining a safe working environment for all employees.
• Maintain a clean, organized, and efficient warehouse environment, ensuring all materials and supplies are stored properly and the workspace remains hazard-free.
• Assist with other administrative tasks as needed, supporting the smooth and efficient operation of the warehouse and overall business functions.
• Compares identifying information and counts, weighs or measures items of incoming and outgoing shipments to bills of lading, invoices, orders or other records.
• Maintains inventory of shipping materials and supplies.
• May direct others in preparing outgoing and receiving incoming shipments.
• Report on issues including product safety and quality to Manager immediately

Physical Demands

Work requires some physical strain such as long periods of standing, bending, climbing and lifting overhead.  Must be able to lift approximately 35 pounds.

Work Environment

Working around power equipment, slippery floors and dusty areas.  Very hot conditions during summer seasons. Protective clothing such as uniforms, slip resistant shoes and gloves may be required.

Qualifications

Knowledge/Skills:

• Understand warehouse procedures, inventory management, and shipping documentation.
• Ability to accurately process and maintain shipping, inventory, and other operational paperwork.
• Strong organizational skills for maintaining accurate and up-to-date records of inventory, shipments, and other relevant data.
• Ability to communicate clearly and professionally when answering phones, emails, and inquiries related to warehouse operations.
• Ability to supervise and delegate tasks to warehouse staff, ensuring effective team management and performance.
• Understanding and adherence to safety regulations and procedures to maintain a safe warehouse environment.
• Ability to maintain a clean, organized, and efficient warehouse environment, including managing materials and supplies.
• Ability to identify issues in warehouse operations and resolve them in a timely and effective manner.
• Ability to manage multiple tasks simultaneously, prioritize responsibilities, and meet deadlines.
• Strong attention to detail to ensure the accuracy of records, paperwork, and warehouse organization.

Salary : $23 - $24
