Key Responsibilities:
- Oversee daily office operations to ensure efficiency, organization, and alignment with company policies
- Manage office systems, supplies, and vendor coordination
- Handles confidential files and executive materials.
- Ensure a well-functioning and professional work environment
- Maintain and implement process improvements to enhance operational efficiency
- ISO support and framework reinforcement
- Performs other duties and/or special projects as needed
- Manage recruiting efforts including scheduling, candidate communication, and coordination
- Manages onboarding and offboarding processes through HR systems (e.g., Marvel HR / Prism)
- Manage relationship with HR department
- Benefits support
- Oversee and manage employee training and compliance requirements
- Coordinate internal travel requests for team members, including gathering requirements, facilitating approvals, and interfacing with the company’s travel agency for booking and logistics
- Coordinate cross-functional communication and collaboration
- Support the development, documentation, and improvement of internal processes and workflows
- Support financial processes including expense authorizations, invoice coordination, and documentation tracking
- Assist with accounts payable/receivable documentation and reporting
- Coordinate and manage state filings and business registration requirements, ensuring accuracy, timeliness, and compliance with applicable regulations
- Manage company insurance policies
- Manage company filing system
- Manage leasing and maintenance of executive offices to include marketing, showings, prospective follow-ups, completing application and lease paperwork, lease renewals, etc.
Required:
- Education: Associate or bachelor’s degree preferred
- Experience: 3–5 years of experience in administrative, operations, or business support roles
- Skills: Microsoft Office Suite (Excel, Word, Outlook, PowerPoint), Experience with HR systems (e.g., Marvel HR or similar), Experience with financial systems (e.g., Costpoint or similar); Strong proficiency in data tracking and reporting
- Familiarity with ISO standards (e.g., ISO 9000, ISO 27000) and compliance frameworks
- Experience supporting audit preparation, documentation, and process standardization
- Experience working in a government contracting or regulated environment
- Strong organizational and operational management skills
- Ability to manage multiple priorities across departments
- High attention to detail and process accuracy
- Strong written and verbal communication skills
- Analytical thinking and problem-solving ability
- Professionalism, discretion, and confidentiality
- Adaptability in a fast-paced, evolving environment
- Citizenship: U.S. Citizen required
