Operations & Administrative Coordinator
Position Overview
We are looking for a highly organized, proactive, and adaptable Operations & Administrative Coordinator to serve as a key support role within our growing team. This person will act as a right-hand partner to leadership, helping manage day-to-day operations, coordinate projects, support customers and vendors, and keep internal processes moving efficiently.
This role is ideal for someone who thrives in a fast-paced environment, takes ownership without being asked, solves problems independently, and is willing to jump in wherever needed to help the team succeed.
The right candidate is detail-oriented, dependable, service-minded, and able to balance administrative responsibilities with project coordination and operational support.
Key Responsibilities
Administrative & Executive Support
- Manage calendars, meetings, scheduling, and follow-up items
- Assist leadership with daily operational priorities and organization
- Prepare documents, proposals, spreadsheets, reports, and presentations
- Handle customer communication and general correspondence
- Maintain organized digital files, records, and project documentation
- Support bookkeeping coordination, invoicing, and vendor paperwork
Project Management & Coordination
- Assist in coordinating active projects from kickoff through completion
- Track project timelines, deliverables, and next steps
- Communicate with vendors, subcontractors, customers, and internal teams
- Coordinate permits, material orders, scheduling, and project logistics
Operations Support
- Help identify inefficiencies and improve operational processes
- Assist with customer service and issue resolution
- Support sales and operations teams with administrative needs
- Be willing to wear multiple hats in a growing company environment
Qualifications
- Strong organizational and multitasking skills
- Excellent communication and follow-up abilities

- Self-starter with the ability to work independently
- Comfortable managing multiple priorities simultaneously
