Job Summary
We are seeking an organized, dependable, and detail-oriented Scheduling & Project Setup Coordinator to support our construction operations. This position will be responsible for scheduling field personnel, setting up new projects, maintaining project information, and helping ensure our office and field teams have everything they need before work begins.
The ideal candidate is highly organized, comfortable working with computers and spreadsheets, and able to manage multiple projects and changing schedules in a fast-paced construction environment.
Duties
- Schedule and coordinate field technicians and/or crews for active projects
- Maintain daily, weekly, and long-term project schedules.
- Coordinate scheduling changes with project managers, field personnel, contractors, and customers.
- Set up new projects in the company's system.
- Review project information and ensure required documentation is received before work begins.
- Organize project drawings, specifications, contracts, purchase orders, and other documents.
- Track project start dates, deadlines, site readiness, and scheduling requirements.
- Contact customers and contractors to coordinate upcoming work.
- Confirm jobsite information, contacts, addresses, access requirements, and scheduled dates.
- Provide field personnel with the information and documents needed for each project.
- Update schedules as projects are delayed, accelerated, or changed.
- Maintain accurate project files and records.
- Assist project managers with administrative and scheduling tasks.
- Communicate regularly with field employees regarding upcoming assignments.
- Follow up on missing information needed to schedule or begin projects.
- Help keep projects organized from initial setup through completion
Qualifications
- Strong organizational and time-management skills.

- Comfortable managing multiple projects and priorities at the same time.
- Strong computer skills, including Microsoft Excel, and Word.
- Ability to learn company scheduling and project-management software.
- Attention to detail and accuracy.
- Ability to work independently and take initiative.
- Professional communication skills when dealing with customers, contractors, project managers, and field personnel.
Pay: $18.00 - $23.75 per hour
Expected hours: 40.0 per week
