QPA, Inc. is seeking a dependable and detail-oriented Office Administrator to handle day-to-day administrative tasks and provide essential support to our team. This role focuses on clerical work, office organization, scheduling, and communication to ensure smooth office operations.
Key Responsibilities
- Answer phones, route calls, and greet visitors.
- Manage incoming and outgoing mail, emails, and packages.
- Prepare and edit documents, correspondence, and forms.
- Maintain digital and paper filing systems for easy retrieval.
Scheduling & Coordination
- Assist with managing calendars, scheduling meetings, and organizing appointments.
- Coordinate meeting logistics, including preparing agendas and setting up conference rooms.
Office Operations
- Order and track office supplies to ensure the office is fully stocked.
- Liaise with vendors for supplies, services, and equipment needs.
- Keep the office space organized and presentable.
Administrative Assistance
- Support project administrators, managers, and staff with general administrative needs.
- Assist in creating spreadsheets, reports, and basic data entry.
- Update contact lists, phone directories, and office records.
Communication
- Draft and distribute internal memos, emails, and announcements.
- Maintain effective communication between the office and field staff.
Qualifications
- Previous experience as an administrative assistant, office assistant, or similar role.
- Strong organizational skills with the ability to multitask effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent written and verbal communication skills.
- Professional phone etiquette and customer service skills.
- Detail-oriented, reliable, and able to work independently or with minimal supervision.
