What Youll Do
As the Office Manager for the Excellence Hub, you will play a key role in keeping training, engagement, and compliance operations running smoothly across the organization.
Training Coordination & Support
- Serve as the first point of contact for all training requests
- Review, route, and track training requests and approvals
- Coordinate scheduling, logistics, and communication for training events
- Maintain accurate tracking systems and calendars
Engagement Resources Management
- Review and process requests for engagement materials (activity kits, sensory tools, etc.)
- Coordinate fulfillment, packaging, and distribution
- Maintain organized inventory systems aligned with organizational guidelines
Scheduling & Event Support
- Assist with scheduling trainings, CEUs, and Excellence Hub meetings
- Coordinate logistics including materials, meeting links, and attendance tracking
- Ensure all events are well-organized, communicated, and documented
Compliance & Documentation
- Maintain audit-ready training records and certificates for all Behavioral Health Providers
- Ensure documentation aligns with CARF and regulatory standards
- Organize digital and physical files for audits, surveys, and internal reviews
- Support CEU documentation and compliance tracking
Administrative & Operational Support
- Provide day-to-day support to the Excellence Hub Director and team
- Assist with meeting preparation, agendas, and minutes
- Maintain organized filing systems, databases, and shared drives
- Support communication across districts and departments
- Help track projects, workflows, and follow-through on key initiatives
What Were Looking For
Required
- High school diploma or equivalent (Associate degree preferred)
- 2 years of administrative, office management, or coordination experience
- Strong organizational and multitasking skills
- Excellent attention to detail and follow-through
- Proficiency in Microsoft Office and scheduling systems
- Strong written and verbal communication skills
Preferred
- Experience in behavioral health, healthcare, or human services
- Familiarity with CARF standards or compliance documentation
- Experience supporting training, HR, or quality functions
- Comfort with EHR systems or project management tools
