Basic Function:

 


The Program Support Specialist will provide operational and program support, including logistics for program materials (blood pressure monitors, scales), incentive tracking and fulfillment, and participant enrollment data entry to support monitoring workflows and community engagement staff.






Organizational Relationships:

Reports to the Program Director with strong collaboration and foundational working relationships with the Business and IT departmental staff. 






Role and Responsibilities:

  • Tracks outreach efforts and documents effort in CRM.

  • Track and distribute program materials (blood pressure monitors, scales).

  • Track and process the participant payments and turn over paperwork to AP to enter into Deltek for payment.

  • Track and distribute non-monetary incentives such as gym memberships, gift cards, etc. to community participant as outlined in scope of work.

  • Administratively support the Community Engagement Specialists with data entry into the IQC and/or the data collection platform.

  • Assist in researching possible community participants throughout the state.

  • Participate in internal and external training sessions and collaborative meetings. 

  • Performs administrative support duties to support all project staff. 

  • Performs data entry of project activities and tracks project milestones. 

  • Organizes and schedules project meetings and travel arrangements.

  • Other duties as assigned.

Skills / Professional Competencies Required:

  • Proficient in computer skills, performs fast, accurate data entry, and has knowledge of all Microsoft Office products.

  • Has a general understanding and knowledge of Accounts Payable and general accounting practices.

  • Has ability to work individually and as a member of a team and can follow directions and processes as defined by the contract. 

  • Demonstrates exceptional organizational skills, with the ability to handle multiple tasks simultaneously and prioritize them.

  • Pays attention to detail and checks work for accuracy. 

  • Displays strong written, verbal, and listening communication skills.

  • Has ability to problem-solve and trouble shoot for creative resolutions. 




Minimum Education/Training Required:

Associates degree from an accredited college or university. 






Minimum Experience Required:

Three to five years of full-time or equivalent part-time experience in a medical or business office environment in an Administrative capacity.










Substitution(s):

Two additional years of experience, beyond the minimum set forth above, may be accepted in lieu of a Associates degree.
