Responsibilities
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, screen calls, and direct inquiries to appropriate departments or personnel
- Handle scheduling tasks such as calendar management and appointment setting with accuracy and efficiency
- Maintain organized filing systems, data entry records, and ensure proper document proofreading for accuracy
- Support office management duties including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical tasks such as typing correspondence, proofreading documents, and managing customer support requests
- Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare reports, spreadsheets, and presentations
Qualifications
- Proven office experience with strong clerical skills in a fast-paced environment
- Excellent customer service skills with professional phone etiquette and interpersonal communication abilities
- Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
- Familiarity with multi-line phone systems and office management procedures
- Bilingual abilities are a plus for effective communication with diverse clients and visitors
- Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Experience in medical or dental receptionist roles is advantageous but not required; relevant personal assistant experience is also valued
