Operations Coordinator: Recruitment and HR
Position Summary:
The Operations Coordinator: Recruitment and HR plays a key role in supporting the day-to-day operations of the Human Resources department, with a strong focus on recruitment activities. This position ensures a smooth hiring process, maintains HR documentation, and assists with employee onboarding and other administrative HR functions to support a positive, efficient workplace.
Key Responsibilities:
Recruitment and Retention:
· Assist in posting job openings on various platforms and job boards.
· Screen incoming applications and schedule interviews.
· Coordinate and communicate with candidates throughout the hiring process.
· Support hiring managers with interview preparation and logistics.
· Conduct reference checks.
· Maintain and update applicant database systems and recruitment files.
· Attend career fairs and recruitment events as needed.
· Coordinate and participate in agency-wide and program-specific events, trainings, and activities.
· Maintain and report staff retention data and collaborate on developing strategies to improve retention.
Human Resources Support:
· Assist with new hire onboarding, including preparing welcome materials, coordinating orientations, and collecting required documentation.
· Assist in maintaining and organizing employee personnel files, ensuring confidentiality, and data integrity and compliance.
· Help process employment verifications, status changes, and other HR requests.
· Support HR initiatives such as employee engagement activities, training sessions, and policy updates.
· Assist in tracking employee compliance (e.g., licenses, certifications, training deadlines).
· Act as a point of contact for new hires, addressing any questions or concerns during the onboarding process.
· Provide administrative support for HR projects and reports.
General Operations:
· Help develop and update standard operating procedures related to recruitment and HR functions.
· Conduct audits to ensure all HR programs and systems are successful and in compliance with regulatory requirements.
· Participate in team meetings and provide updates on recruitment efforts.
· Provide clerical support such as filing, data entry, and correspondence drafting.
· Perform other duties as assigned to support operational and HR needs.
About You:
· Associate’s or Bachelor’s Degree in Human Resources, Business Administration, or a related field preferred.
· 1–2 years of experience in HR support, recruitment, or administrative roles.
· Strong organizational skills and attention to detail.
· Excellent communication and interpersonal skills.
· Ability to manage multiple tasks and deadlines.
· Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with HR systems preferred.
· Knowledge of employment laws and HR best practices is a plus.
