General Statement of Duties: The Payroll Coordinator performs the District’s Business Office
function of processing the bi-weekly payroll for all salaried and hourly employees. The Payroll Coordinator
also performs all monthly payroll reporting functions.
Essential Functions:
Generates and prepares district payroll involving collection of, clarification of, and data entry of
timesheets. Coordinates with school administrators regarding missing and/or incomplete timesheets.
Processing of bi-weekly ACH deposits and tax payments (Federal and State).
Exercises considerable judgment and discretion within assigned duties; analyzes situations and makes
decisions in procedural matters without direct supervision.
Works closely with the Superintendent of Schools and Director of Finance and Operations on all
communications regarding District policies, rules, and contracts related to personnel issues. Maintains
confidentiality of employee materials and information.
Demonstrates a high degree of organization and responsibility.
Establishes and maintains accurate records of employee information to monitor employment status
changes, extra duty, leaves of absence, vacation, worker’s compensation and unemployment claims.
Maintains employee deduction records regarding health and benefits to include enrollment periods, rate
changes and potential COBRA coverage.
Works with district auditors on completion of annual audit of payroll and employment records.
Meets with retired employees regarding retiree insurance coverage and any changes in coverage that
need to be reported to respective pension boards (MTRS and Worcester Regional Retirement).
Responds to requests either via telephone or formal correspondence for information from outside
agencies regarding employment and salary verification.
Prepares and completes annual IRS Form W-2 process in conjunction with the Director of Finance
and Operations.
Prepares and completes annual Affordable Care Act (ACA) reporting.
Maintains status of employees in the Massachusetts Teachers’ Retirement System (MTRS) after initial
enrollment by the HR Assistant.
Ensure excellent organizational systems are implemented for electronic and paper records and are
compliant with document retention guidelines.
Performs other tasks as may be assigned by the Director of Finance and Operations or the
Superintendent of Schools.
Qualifications:
A. Education and Experience:
- Two-year Associates Degree in Business or Accounting required; Bachelor’s preferred
- Five years’ experience in Accounting and Payroll (preferably in a school district or municipal setting)
B. Special Requirements and Certifications:
- Working knowledge of financial practices and procedures
- Working knowledge of fund accounting in a school or municipal setting preferred
- Working knowledge of general health insurance rules and regulations
- Working knowledge of and/or willingness and ability to be trained in the use of network hardware and
District financial software systems
C. Knowledge, Ability and Skill:
- Ability to strictly maintain sensitive and confidential information
- Ability to interact appropriately with employees, other departments, and the general public
- Ability to communicate clearly and concisely with others, both verbally and in writing
- Ability to perform detailed work accurately and efficiently within deadlines
D. Physical Qualifications:
- Minimal physical effort demanded when performing functions under typical office conditions
- Occasional lifting, standing, bending and carrying of files, documents and records
