Role Description
We are seeking a full-time, on-site Administrative/Operations Assistant for our Boca Raton, FL office. This role is integral to maintaining a well-coordinated, efficient, and professional environment. Responsibilities include providing administrative support, managing calendars, handling phone communications, Processing new account openings, cash movements, email communications with professionalism, maintaining accurate records, and supporting various other clerical and operational tasks.
This role also includes executive-level administrative support for all members of the team. Our office operates in a fast-paced environment where Operations serves as the central hub, requiring strong follow-up skills, attention to detail, and the ability to multitask effectively.
Qualifications
· Strong administrative and clerical skills with the ability to maintain organized and accurate records
· Experience supporting senior leaders with executive-level administrative tasks
· Excellent phone etiquette and strong written and verbal communication skills
· Outstanding organizational abilities, attention to detail, and ability to manage multiple priorities
· Proficiency with Microsoft Office and other relevant office software
· Ability to work collaboratively and professionally in a team environment
· High school diploma or equivalent (additional office administration education is a plus)
· Required: Background in Operations within a financial services firm
· Preferred: Experience with Pershing, Redtail, Orion, Addepar and Holistiplan
Compensation & Benefits
· Salary range: $55,000 – $65,000, depending on experience
