What are the responsibilities and job description for the Project Manager position at Q Corporation?
Job Summary
We are seeking a dynamic and highly organized Project Manager to lead and oversee custom engineered manufacturing projects from order acceptance through installation and completion. In this role, you are expected to drive projects forward, communicate directly with customers and vendors, identify risks, follow up persistently, and ensure commitments are met. You will coordinate multidisciplinary teams and manage project schedules, budgets, and resources. The right candidate does not need to be an engineer, but must be comfortable working around technical information and learning how complex equipment operates. The position is well suited for an early-career Project Manager or an experienced Project Coordinator who is ready to take ownership of complete projects.
Responsibilities
- Manage assigned projects from initial handoff through engineering, procurement, manufacturing, shipment, installation, commissioning, and closeout.
- Review customer purchase orders, proposals, specifications, schedules, and project scope to understand contractual requirements.
- Develop and maintain project schedules, action-item lists, milestones, and completion priorities.
- Serve as a primary point of contact for customers throughout the project.
- Lead customer meetings and provide clear updates regarding schedule, technical coordination, open items, risks, and next steps.
- Coordinate activities between engineering, controls, purchasing, production, field service, subcontractors, suppliers, and customer teams.
- Follow up with internal departments and outside vendors to ensure drawings, approvals, materials, equipment, and information are delivered when required.
- Support the procurement of project-specific equipment and materials, including long-lead items.
- Track project budgets, committed costs, remaining costs, billing milestones, and overall financial performance.
- Prepare quotations and change-order documentation when customer requests or site conditions affect the original scope.
- Maintain clear records of customer decisions, approvals, commitments, open issues, and scope changes.
- Coordinate equipment shipping, delivery requirements, site readiness, installation schedules, and field activities.
- Identify schedule, cost, technical, and customer risks before they become major problems.
- Escalate issues appropriately while presenting recommended solutions—not simply reporting the problem.
- Help resolve unexpected issues while protecting the project schedule, customer relationship, and Q Corporation’s commercial interests.
- Maintain organized and accurate project documentation.
- Manage multiple active projects and adjust priorities as project needs change.
Qualifications
- Two or more years of experience in project management, project coordination, manufacturing, construction, engineering, operations, procurement, or a related environment preferred.
- Demonstrated experience coordinating multiple people, deadlines, suppliers, or workstreams.
- Strong organizational skills and consistent follow-through.
- Excellent written and verbal communication skills.
- Ability to communicate professionally with customers, vendors, engineers, technicians, and company leadership.
- Comfortable reading and learning from technical specifications, drawings, equipment lists, schedules, and bills of material.
- Strong working knowledge of Microsoft Excel, Outlook, Word, and related business software.
- Ability to manage several priorities without losing track of details or commitments.
- Sound judgment and the confidence to ask questions, challenge assumptions, and raise concerns.
- Ability to remain calm, constructive, and solution-oriented when projects become demanding.
- Experience with custom equipment, HVAC, refrigeration, controls, manufacturing, construction, or industrial projects is beneficial but not required.
What We Are Looking For

We are looking for someone who:

- Communicates problems early and clearly.
- Is willing to learn technical concepts and ask intelligent questions.
- Can distinguish between an issue that requires escalation and one they should resolve independently.

- Understands that a project is not complete until the customer’s requirements are satisfied and all remaining commercial and technical items are closed.
- Wants to grow beyond basic coordination into full project ownership.
