Position Summary / Objective
The Northeast Project Manager is responsible for coordinating and managing all production operations for the Northeast region. This role oversees show logistics, technician assignments and dispatch, vendor coordination, administrative and financial workflows, and operational support across sales and production teams.
The position acts as the central operational communication point between technicians, vendors, and leadership — ensuring shows are executed efficiently and accurately. Strong organization, communication, and multitasking abilities are essential, particularly during peak season when production volume is highest.
Role Responsibilities
The following duties represent the primary responsibilities of the role. This list is not exhaustive. The individual in this position will perform additional tasks as assigned, adhere to all provisions of the Employee Manual, and participate in company initiatives and projects.
Production Operations & Logistics
- Coordinate show and event logistics including equipment needs, arrival times, and on-site planning.
- Assign technicians to shows and communicate all show details and expectations.
- Assist with site diagrams and operational planning.
- Schedule vendors including barge companies, portable restroom providers, and equipment container vendors.
- Confirm shows are completed successfully with technicians after displays.
- Dispatch crews and act as the primary operations coordinator for the Northeast region.
- Track show metrics, distribute reports, and fulfill completed shows in internal systems.
- Manage crew approvals within internal systems.
Administrative & Financial Coordination
- Create sales orders, work orders, and project records within operational systems.
- Maintain and update project tracking platforms and major event tracking boards (including Fourth of July).
- Track and update show metrics and reporting data.
- Manage Regional Manager’s calendar and coordinate internal meetings.
- Host and facilitate weekly online production meetings.
- Create purchase orders for labor and operational expenses across the Northeast region.
- Process show pay forms and payroll documentation.
- Submit invoices and bills to accounting and coordinate payments.
- Print checks and coordinate financial documentation with accounting personnel.
- Manage company credit card expense reports.
Staff Support & Operations
- Answer incoming phone calls and route inquiries to the appropriate team members.
- Serve as the primary point of contact for technicians and employees regarding operational questions and scheduling.
- Coordinate onboarding documentation and employee paperwork through HR systems.
- Organize training seminars and internal meetings.
- Register the company for regional industry conferences and events.
- Act as an on-call contact for operational needs.
- Retrieve mail from the post office and coordinate outgoing payments and documents.
Work Environment
This position primarily operates in an office environment but requires frequent coordination with field technicians and vendors. Work may involve periods of high activity and tight deadlines, particularly during peak production seasons.
Physical Demands
This position requires prolonged periods of sitting and working at a computer. The role involves frequent use of phones, email, and video communication to coordinate with employees, technicians, and clients. The employee may occasionally need to lift or move packages, office supplies, or equipment related to shipping, mail handling, or operational needs. The position also requires the ability to manage multiple tasks simultaneously and respond quickly to operational issues during busy periods.
Position Type / Expected Hours of Work
This is a full-time, salaried position. Standard business hours apply; however, extended hours may be required during peak production season. The role may require availability outside of normal business hours to address operational needs and support technicians.
Travel
Limited travel may be required for industry conferences, meetings, training seminars, or operational needs within the Northeast region.
Qualifications
Required

Preferred
