About the Role
Our growing CPA firm is seeking a detail-oriented Payroll Specialist to manage payroll for a variety of small-business clients. This position is ideal for someone who thrives in a deadline-driven environment, enjoys client interaction, and has strong knowledge of payroll compliance. You’ll play an important role in ensuring accurate, timely payrolls and supporting our clients’ ongoing financial needs.
Responsibilities
- Process weekly, biweekly, semi-monthly, and monthly payrolls for multiple clients.
- Maintain employee records, tax withholdings, direct deposits, and wage garnishments.
- Review timesheets, verify hours worked, and process payroll adjustments.
- Ensure compliance with federal, state, and local payroll regulations.
- Prepare and file payroll tax returns, including Forms 941, 940, state/local withholding, and unemployment returns.
- Prepare year-end payroll forms such as W-2s, W-3s, and 1099-NECs.
- Communicate with clients regarding payroll deadlines, reporting needs, and employee updates.
- Research and resolve payroll discrepancies and respond to payroll-related tax notices.
- Assist with onboarding new clients and setting up payroll systems/software.
- Collaborate with accounting and tax teams to support client financial and year-end processes.
Qualifications
- 2 years of payroll processing experience (multi-client or CPA firm experience preferred).
- Strong understanding of payroll laws, tax rules, and compliance requirements.
- Experience with payroll software (Accounting CS preferred).
- Proficiency in Microsoft Excel and general accounting systems.
- Exceptional attention to detail and strong organizational skills.
- Excellent communication and customer service abilities.
- Ability to manage multiple deadlines and client workloads effectively.
Preferred Skills
- Previous experience in a CPA or professional services firm.
- Familiarity with bookkeeping or basic accounting tasks.
