Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer literacy, excellent communication skills, and the ability to manage multiple tasks efficiently. This role involves providing exceptional customer service, managing office procedures, and supporting team members with various administrative functions to ensure smooth daily operations.
Duties
- Assisting with AP/AR functions, reconciling bank and credit card accounts.
- Handle payroll process in coordination with external provider
- oversee employee onboarding/offboarding, maintain/update employee records
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office, and QuickBooks for various administrative tasks such as scheduling, invoicing, and bookkeeping
- Provide customer support via phone and email, ensuring excellent phone etiquette and timely responses
- Assist with office management tasks including supply ordering, mail distribution, and maintaining office organization
- Support personal assistant duties as needed, including travel arrangements and correspondence management
- Handle clerical duties such as typing reports, managing spreadsheets, and supporting project coordination
Requirements
- Proven experience in office management or administrative roles with proficiency in Microsoft Office, and data entry skills
- Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Excellent communication skills, both verbal and written
- Knowledge of QuickBooks or bookkeeping experience is desirable
- Previous experience in union payroll advantageous but not required
- Office experience with clerical responsibilities such as filing, proofreading, and calendar management preferred
- Demonstrated computer literacy with familiarity in office software applications and internet research skills
- Ability to handle confidential information discreetly and maintain professionalism at all times
Job Type: Part-time
Pay: $20.00 - $25.00 per hour
Expected hours: 20 – 25 per week
