Administrative Assistant
Purvis Gray is seeking a dependable, detail-oriented Administrative Assistant to support our Gainesville office and accounting professionals. This role assists with tax return processing, client communication, billing and collections support, document management, and general office operations.

Key Responsibilities
- Assist with printing, assembling, scanning, processing, and distributing tax returns and related documents.
- Review tax returns to verify that all required forms, signatures, schedules, and attachments are included and properly prepared for processing and electronic filing.
- Maintain organized and accurate electronic and physical client files.
- Answer and route telephone calls and communicate professionally with clients, vendors, and colleagues.
- Monitor assigned administrative and billing inboxes, prepare client invoices, review and verify billing completed by others, distribute invoices, and follow up on outstanding receivables.
- Prepare audit confirmation letters, correspondence, spreadsheets, and tracking reports
- Process and electronically file completed tax returns, monitor filing acknowledgments, and follow up on rejected or incomplete submissions.
- Perform data entry, document verification, filing, photocopying, and mail processing.
- Provide additional administrative and document-processing support during seasonal deadlines.
- Collaborate with administrative team members across offices and assist with special projects as assigned.
Skills and Qualifications
Required
- High school diploma or equivalent.
- Two or more years of administrative, office-support, customer-service, or related experience.
- Proficiency in Microsoft Outlook, Word, and Excel.
- Excellent organization, accuracy, and attention to detail.
- Ability to manage multiple assignments and changing priorities.
- Ability to maintain confidentiality and exercise professional judgment.
- Willingness and ability to learn new software and technical processes.
Preferred
- Associate or bachelor’s degree.
- Experience in a CPA firm or other professional-services environment.
- Familiarity with tax processing, electronic filing, billing, collections, audit support, or document-management systems.
- Experience with CCH, XCM, Workflow, AutoFlow, LCvista, or similar software.
