Role Overview
The Commercial Account Buyer is responsible for executing the purchasing and sourcing required to fulfill commercial orders within the Purpose-Built PRO division. Once a Sales Order or Estimate has been approved by the client, the Commercial Account Buyer activates the procurement process—sourcing products, placing purchase orders, coordinating vendor timelines, and ensuring all goods arrive on time and accurately for production or delivery.This role reports directly into the Buying Department with indirect reporting and support of the Commercial Account Managers, who own the client relationship.In addition to purchasing responsibilities, the Commercial Account Buyer is responsible for entering jobs into the production portal for our production partner and ensuring that all supplier costs are accurate within our systems so margins, COGS, and accounting records reflect the true cost of each job.This position requires someone with extreme attention to detail, strong organizational skills, and the ability to manage multiple orders and vendors simultaneously.
Core ResponsibilitiesOrder Activation & Purchasing
- Review approved sales orders and estimates for accuracy
- Identify required garments, boots, or equipment for each order
- Place purchase orders with appropriate vendors
- Coordinate quantities, sizes, colors, and product specifications
- Ensure purchase orders match the approved client estimate
- Track vendor confirmations and shipment timelines
Production Portal Job Entry
- Enter all custom merchandise jobs into the production portal
- Ensure garments, quantities, artwork placements, and production notes are accurate
- Confirm production timelines align with customer expectations
- Coordinate with the Commercial Account Manager on any order adjustments
- Monitor job progress through the production pipeline
Cost Accuracy & Margin Protection
- Enter vendor costs accurately within internal systems
- Ensure purchase orders match supplier invoices and confirmations
- Verify costs for garments, printing, embroidery, and freight
- Monitor cost changes from vendors and update records when necessary
- Ensure each job reflects the correct COGS and margin within accounting systems
Vendor Management – Sourcing Suppliers
- Maintain strong working relationships with vendor representatives
- Monitor vendor inventory and product availability
- Secure best available pricing and freight terms
- Stay up to date on new product offerings and sourcing opportunities
- Troubleshoot stock issues or vendor delays
Problem Resolution & Vendor Credits
- Investigate issues related to production errors, damaged goods, or incorrect shipments
- Coordinate with vendors to secure appropriate credits, replacements, or adjustments
- Ensure vendor credits are properly issued and recorded
- Communicate issues and resolutions with the Commercial Account Manager
- Monitor vendor performance to reduce recurring problems
Client Returns & Issue Resolution
- Coordinate returns or replacements as directed by the Commercial Account Manager
- Manage return authorizations with suppliers when applicable
- Ensure returned goods and credits are documented correctly
- Coordinate replacement orders when required
Inventory & Availability Coordination
- Confirm product availability before placing orders
- Coordinate with vendors to manage backorders or substitutions
- Communicate product availability challenges to the Commercial Account Manager
- Identify alternate products when inventory shortages occur
Production & Vendor Coordination
- Coordinate delivery timelines with production partners such as Customization Partner
- Ensure garments and products arrive before scheduled production windows
- Monitor shipment tracking and vendor delivery status
- Resolve missing or damaged shipment issues with vendors
Order Multitasking & Workflow Management
- Manage multiple active purchase orders at once
- Prioritize time-sensitive production orders
- Monitor vendor timelines and shipment tracking
- Maintain clear communication with the Commercial Account Manager regarding order status

- Vendor issues and problem jobs are resolved quickly with appropriate credits
- Client return situations are handled professionally and efficiently
- Production timelines are protected through proactive purchasing
What You Will Need
- High School diploma and 2 years of related experience OR Bachelor's degree in a related field plus 1 year related experience
- Intermediate knowledge of MS Word, Excel, and Inventory Management Systems
